Peterson is seeking a Project Coordinator to join the construction team. As a Project Coordinator within Peterson’s Construction team, the successful candidate will play a key role in supporting the successful delivery of construction and development projects from start-up through completion. Working closely with the Senior Project Manager and SVP, Construction, this role will coordinate project documentation, meetings, procurement, cost tracking, and stakeholder communication while helping ensure projects remain aligned with schedule, budget, quality, and scope. Key Responsibilities
- Coordinating, tracking and monitoring the status of key documentation pertaining to construction;
- Coordinating meetings with all project stakeholders;
- Attending project team meetings, recording meeting minutes and action items, and presenting updates;
- Assisting the construction team with the overall management of all construction projects;
- Responsible for the document control and tracking of Owner items, drawings, specifications, and lessons learned (recording and translation of major points into Peterson standards);
- Assisting and leading new construction technologies and the implementation;
- Assisting the Project Manager with managing the shop drawings, RFI’s, samples and project procurement;
- Collecting, documenting and filing field data (measurements, deficiencies, pictures, etc.) as required;
- Maintaining and updating project bid lists;
- Sourcing and vetting vendors and subcontractors;
- Performing general administrative and record keeping functions including the review and distribution of documentation; preparation of correspondence and meeting minute and maintenance of files, logs, drawings, specifications, submittals and RFI’s;
- Overseeing project invoicing and being the lead executer for all Purchase Orders and new vendor setup forms;
- Assisting with the preparation of rezoning, subdivision, development and building permit applications;
- Managing and coordinating invoices, cost tracking, appraisals and consultant contracts;
- Preparing and facilitating Requests for Proposals as required, including the preparation of proposal comparisons, consultant contracts and clarification of scope;
- Preparing and coordinating investor updates;
- Participating in project meetings including external meetings with Municipal staff and project consultants;
- Managing day-to-day administration tasks including scanning and saving updates to filing system, printing invoices for coding and updating various documents; and
- Supporting the development team for all aspects of development, from land acquisition to project occupancy.
What You Bring
- Completion of a Diploma/Certificate in a Construction related field. Engineering background is preferred but not a requirement;
- 2 years minimum experience in a construction related field;
- Efficient and effective time management and project management, demonstrating the ability to meet deadlines while producing quality and accurate work;
- Providing quality customer service with the proven ability to multi-task and prioritize demands;
- Building and sustaining position and professional relationships with contractors, consultants, municipalities, tenants and co-workers.
- Working knowledge with Outlook, Bluebeam, and Procore
- Knowledge of working in Sharepoint is an asset;
- Strong work ethic; and
- Ability to work independently in a busy environment.
