Role Description The Administrative Assistant is a full-time hybrid role based in Hamilton, ON, with a blend of on-site and work-from-home activities. This role supports day-to-day operations by managing calendars, scheduling meetings, organizing documents, and coordinating logistics for research teams and leadership. Responsibilities include handling phone calls and email correspondence, preparing and formatting reports and presentations, maintaining filing systems and databases, and assisting with data entry and record-keeping. The Administrative Assistant also helps arrange travel and meeting coordination, orders office supplies, and liaises with internal and external stakeholders to ensure efficient communication and workflow across PHRI’s projects.
Qualifications
- Candidates should possess strong Administrative Assistance and Clerical Skills to manage scheduling, documentation, filing, and general office coordination.
- Candidates should possess effective Communication and Phone Etiquette skills to interact professionally with staff, partners, and participants via phone, email, and in person.
- Candidates should possess Executive Administrative Assistance capabilities to support senior leaders with calendar management, meeting preparation, and follow-up actions.
- Relevant skills such as proficiency with standard office software (e.g., MS Office), accurate data entry, and basic records management are beneficial.
- Previous experience in a research, healthcare, or academic environment, along with strong organizational abilities, attention to detail, and the capacity to handle confidential information, is an asset.
- A diploma or degree in business administration, office administration, or a related field, or equivalent combination of education and experience, is preferred.
