We're looking for a detail-oriented Accounting Administrator to support our Accounting & Finance team with invoice processing, vendor payments, reconciliations, and day-to-day financial administration. Key Responsibilities
- Provide day-to-day administrative support to the Accounting and Finance department, including accounts payable and accounts receivable activities.
- Assist Property Accountants with daily bank reconciliations.
- Assist with data entry and preliminary processing of invoices, ensuring proper coding and PO matching prior to review and approval.
- Set up utilities, taxes, and vendor accounts on pre-authorized payment plans.
- Schedule and process vendor payments, ensuring timely disbursements while adhering to the approval process.
- Reconcile vendor statements, investigate discrepancies, and resolve outstanding issues.
- Sort and distribute incoming mail, invoices, and correspondence to the appropriate team members in a timely manner.
- Monitor, organize and maintain the invoice email inbox, ensuring invoices are uploaded to the system and vendor inquiries are addressed.
- Maintain accurate, organized digital and physical filing systems for vendor, tenant, and property financial records.
- Respond to routine inquiries from internal stakeholders and external vendors, escalating more complex issues to the appropriate team members.
- Support special projects and perform other administrative duties as required.
Crucial Knowledge and Skills
- Strong organizational and time management skills, with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent attention to detail with a high level of accuracy in data entry and record-keeping.
- Strong written and verbal communication skills, with the ability to interact professionally with internal teams and external vendors.
- Ability to work collaboratively in a fast-paced, team-oriented environment.
- Working knowledge of Yardi property management software is considered an asset.
- Basic understanding of accounting principles and terminology is considered an asset.
Education And Experience Required
- Undergraduate degree in Accounting, Finance, or a related field.
- 1 to 2 years of experience in accounts payable, accounting, finance, or a related discipline.
- Experience supporting financial operations within a property management or real estate environment is considered an asset.
- Exposure to accounting systems, ERP platforms, or property management software, such as Yardi is preferred.

- Competitive Salary Range: $45,000-50,000
- Work Arrangement: Fully on-site, 5 days a week at 70 York St, Toronto, Ontario
