This role involves supporting project team members by providing guidance and administrative support throughout all phases of the construction process.
What You Will Do
- Prepare, process, and draft all required correspondence and ensure the execution of various mandates across departments.
- Serve as a key resource supporting the Executive Vice President, acting as the primary point of contact, triaging requests, and ensuring appropriate follow-up.
- Coordinate various executive meetings, including the preparation of required documents, reports, and presentations.
- Proactively identify, anticipate, and promptly communicate potential obstacles or roadblocks.
- Effectively and proactively manage calendars and schedules.
- Manage emails and maintain an efficient filing and document management system.
- Ensure proper tracking and prioritization of tasks while maintaining the quality of established processes.
- Facilitate the effective execution of the Executive Vice President’s responsibilities and activities.
- Participate in special projects and strategic initiatives.
- Provide translation support for various communications as required.
- Prepare, reconcile, and follow up on executive expense reports and payments.
- Organize and synthesize information received from various stakeholders and executives.
- Draft a variety of publications, editorials, speeches, and executive communications.
This role could be for you if you have :
- Minimum of 2 years of relevant experience in a similar role.
- Diploma of Vocational Studies (DVS), Attestation of College Studies (ACS), or an equivalent combination of education and relevant experience.
- Demonstrated creativity, autonomy, and versatility.
- Strong attention to detail and the ability to manage multiple priorities simultaneously.
- Excellent organizational skills, sense of responsibility, and strong political savvy.
- Strong interpersonal and relationship-building skills.
- High level of adaptability and flexibility.
- Ability to maintain discretion and confidentiality at all times.
- Sound judgment and the ability to anticipate needs and requirements proactively.
- Exceptional attention to detail.
- Demonstrated integrity and a collaborative, caring approach.
- Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

Employment Conditions
- Permanent full-time position 40 hours per week
- Language of Work : French
Compensation And Benefits
- Salary ranging from $60,000 to $65,000, with eligibility for the company bonus program and employee share ownership plan.
- Up to 5% RRSP matching following the eligibility period.
- 4 weeks of vacation.
- Comprehensive health, medical, and dental coverage paid by the employer.
- Annual salary increases ranging from 2% to 5% based on performance.
