Inventory & Logistics Assistant
Location: Bolton, ON | Job Type: Full-Time, Permanent | Schedule: Monday–Friday, On-site
Pay: $22.00–$25.00 CAD/hour, based on experience
About the Role
We are looking for an Inventory & Logistics Assistant to support our purchasing, inventory, and inbound logistics operations. The role involves maintaining accurate ERP data, processing purchase orders, tracking inbound shipments, managing inventory, and providing reliable ETAs to our Sales team and clients.
We currently use QuickBooks and Fishbowl and will be transitioning to Microsoft Dynamics 365 Business Central.
Key Responsibilities
- Create and maintain item/SKU records, including descriptions, UOMs, costs, vendors, and warehouse locations.
- Create and process purchase orders and confirm pricing, quantities, and lead times with suppliers.
- Match receipts, POs, packing lists, and supplier invoices and resolve discrepancies.
- Monitor open POs and follow up with suppliers on production and dispatch.
- Track inbound containers through ocean, port, rail, and road transportation.
- Coordinate with suppliers, freight forwarders, customs brokers, rail carriers, and trucking companies.
- Maintain shipping documentation, including bills of lading, commercial invoices, packing lists, and certificates of origin.
- Monitor delays, holds, and free-time deadlines and coordinate delivery appointments.
- Receive inbound inventory accurately and maintain inventory records.
- Record damaged or non-conforming materials and support supplier/carrier claims.
- Provide shipment and order ETAs to Sales and clients and proactively communicate delays.
- Maintain organized purchasing, shipping, and receiving records.
Qualifications
Required
- 2+ years of experience in inventory, purchasing, logistics, or supply chain.
- Experience with an ERP or inventory management system such as Fishbowl, QuickBooks, Dynamics 365 Business Central, NetSuite, SAP Business One, or Sage.
- Working knowledge of import shipping, ocean containers, rail/truck freight, Incoterms, and customs documentation.
- Strong Excel skills, including XLOOKUP/VLOOKUP, pivot tables, filtering, and data cleanup.
- Strong attention to detail, organization, and communication skills.
- Ability to manage multiple shipments, POs, and priorities simultaneously.
Assets
- Experience with Microsoft Dynamics 365 Business Central, implementation, or data migration.
- Experience in building materials, natural stone, tile, or landscaping products.
- Education in Supply Chain, Logistics, Business, or a related field.
- Familiarity with CBSA import processes and customs brokers.
