We are currently looking for LOGISTICS SERVICE COORDINATOR to join our OAKVILLE team. This is a full-time, permanent position responsible for coordinating shipping services, resolving logistics issues, and supporting customers, internal teams, and GZNA personnel across North America. We are looking for a competent, safety-oriented person with excellent attendance who can work independently in varying environments!
This position operates on a straight day shift (7am - 3pm) basis.
Candidates must reside in Canada and be legally authorized to work in Canada without sponsorship now or in the future.
Responsibilities
- Serve as the primary point of contact for Sales and internal departments regarding shipping inquiries, transportation requirements, service concerns, and shipment irregularities.
- Provide responsive, professional, and solutions-focused customer service, including shipment status requests, delivery concerns, service inquiries, and escalations.
- Monitor incoming service requests and take ownership of investigation, follow-up, communication, and resolution through to completion.
- Proactively communicate shipment delays, service disruptions, exceptions, and other issues to customers, Sales, and relevant internal departments.
- Assess customer shipping requirements and historical service issues to identify potential risks and help prevent service failures.
- Coordinate with the Shipping team to schedule and execute customer pickups, ensuring timing, shipment requirements, documentation, and special instructions are clearly communicated.
- Coordinate transportation requirements with carriers, brokers, freight forwarders, and other logistics service providers.
- Support time-sensitive, expedited, specialized, and high-priority shipments as required.
- Generate freight and transportation quotes based on shipment specifications, service levels, customer requirements, and available carrier options.
- Review shipment information and supporting documentation for accuracy to help prevent carrier, customs, billing, and delivery-related issues.
- Investigate and coordinate the resolution of shipping irregularities, including delays, missed pickups, delivery discrepancies, damages, lost shipments, incorrect routing, and other service failures.
- Receive, document, investigate, and manage freight and shipping claims through resolution.
- Liaise with customs brokers, carriers, customers, and internal departments to resolve customs, documentation, clearance, classification, and broker-related issues and minimize border delays.
- Develop and maintain strong working relationships with carriers, brokers, freight forwarders, service providers, customers, and internal departments.
- Monitor service-provider performance, including transit times, service failures, claims, responsiveness, and overall reliability; escalate significant, unresolved, or recurring issues to Logistics leadership as required.
- Identify recurring shipping and service issues and assist with root-cause analysis, corrective action, and preventative measures to reduce future delays and service failures.
- Collaborate with Shipping and Logistics leadership to identify and implement opportunities to improve transportation processes, workflows, service standards, communication, and overall efficiency, including the development and maintenance of standard operating procedures and logistics best practices.
- Investigate and resolve missing or unaccounted-for inventory and support inventory accuracy and organization across Warehouse and Shipping operations.
- Maintain and regularly update a directory of carriers, service providers, brokers, and other logistics resources.
- Support the development, implementation, and ongoing improvement of ERP systems and logistics-related technology, including QMI.
- Assist with the implementation of new processes, systems, and tools designed to improve logistics visibility, accuracy, and efficiency.
- Maintain accurate records of service requests, quotes, claims, shipment irregularities, resolutions, and relevant logistics communications.
- Provide logistics support to GZNA entities and personnel across North America on matters within the scope of the position.
- Perform other related duties as assigned or as business needs dictate.
Physical Demands
- Ability to work primarily in an office environment while regularly accessing warehouse, shipping, and production areas.
- Ability to sit and work at a computer for extended periods of time.
- Ability to work in a loud warehouse and industrial environment for periods of time.
- Ability to stand and walk for extended periods when monitoring operations or investigating shipping and inventory issues.
- Ability to safely navigate warehouse and shipping environments, including areas with forklifts, pallet jacks, dock doors, uneven surfaces, and varying noise levels.
- Ability to occasionally lift, carry, push, or pull materials or packages weighing up to 50 lbs., where required.
- Ability to bend, reach, stoop, and climb stairs occasionally when accessing inventory, shipments, or operational areas.
- Ability to wear required personal protective equipment (PPE) when entering designated warehouse, shipping, or production areas.
Requirements/Qualifications
- Previous experience in a warehouse, distribution, logistics, or transportation environment preferred.
- Strong verbal and written communication skills with a high level of attention to detail.
- Proficient in Microsoft Office and Google Workspace, with the ability to learn and adapt to new technologies and software.
- Demonstrated sound judgment and decision-making skills, with the ability to identify opportunities for process improvement.
- Strong organizational skills with the ability to manage multiple priorities, maintain accuracy, and meet departmental goals and deadlines.
- Proven ability to work effectively in a fast-paced environment with shifting priorities while contributing to a team.
- Flexible and adaptable, with the ability to respond effectively to changing business needs.
- Excellent attendance and reliability.
- Willingness to work overtime as business needs require.
- Ability to communicate effectively in person, by telephone, and through electronic communication.
- Must wear required PPE when performing job functions in designated areas; CSA-approved steel-toed safety boots are mandatory
