Financial Advisor Assistant

Raymond James Independent Financial Services is seeking a full-time Financial Advisor Assistant to work in our Downtown Toronto office.

Bowes Wealth Management is a collaborative, multi-advisor team based on Toronto's Queens Quay. We run a predominantly discretionary, fee-based practice and work with a long-standing base of high-net-worth families and business owners. This is a hybrid position, with four days per week in-office.
This is a broad, hands-on client service and administrative role supporting our Financial Advisors, Portfolio Managers, and broader branch team. The successful candidate will help manage day-to-day client requests, account administration and transfers, meeting preparation, CRM and follow-ups, tax-season items, client events, and general office organization. Because we are a smaller team, the role offers the opportunity to take ownership of recurring processes and become an important part of the practice. We are looking for someone dependable, detail-oriented, proactive, and comfortable working in a fast-paced wealth management environment.
Client Service & Advisor Support
- Provide professional, responsive, and client-focused service by phone, email, and in person.
- Handle day-to-day client requests, inquiries, and follow-up items, working closely with the advisory team to ensure matters are resolved promptly.
- Assist with trade-related administration and, where appropriately licensed, process trade instructions and security transactions in accordance with firm and regulatory requirements.
- Schedule and confirm client meetings, manage calendars, prepare meeting materials and presentations, and help track post-meeting action items.
- Draft and coordinate routine client correspondence and help maintain a polished, consistent client experience across all touchpoints.
Account Administration & Operations
- Support new account openings, account updates, KYC documentation, beneficiary changes, transfers, and related paperwork.
- Process and follow up on deposits, withdrawals, cheques, electronic funds transfers, journals, and other cash management-related requests.
- Ensure documentation and transactions are accurate, complete, and processed in accordance with internal and regulatory requirements.
- Coordinate with Raymond James head office and internal departments to resolve operational issues and follow up on outstanding items.
- Support tax-season activities by coordinating tax slips, client requests, documentation for accountants and tax professionals, and related follow-up items.
CRM, Meetings & Office Coordination
- Maintain accurate and up-to-date CRM records, client notes, contact information, activities, and follow-up tasks.
- Use Microsoft Outlook extensively for calendars, scheduling, email management, mail merges, meeting coordination, and client communications.
- Maintain advisor files and recurring administrative workflows, assist with project work, and help keep the office organized and running smoothly.
- Use Dataphile and Raymond James systems effectively and demonstrate comfort learning new technology and processes.
Client Events, Marketing & Communications
- Organize and support client events, seminars, branch events, and related follow-up activities.
- Coordinate invitations, approvals, attendance tracking, materials, logistics, and post-event follow-up; occasional attendance outside regular business hours may be required.
- Assist with approved marketing initiatives, email campaigns, website or social media coordination, and other client communications.

The ideal candidate is self-motivated, detail-oriented, organized, and client-focused. You are comfortable managing multiple priorities, meeting deadlines, and working both independently and collaboratively. You take ownership of follow-up, communicate professionally, exercise discretion with confidential information, and look for ways to make the team and client experience better.
Qualifications
- Minimum of 2 years of industry-related experience, preferably in investment brokerage, wealth management, financial services, banking, or a similar client-service environment.
- Post-secondary education, or an equivalent combination of education, training, and relevant experience.
- CIRO Investment Representative (IR) licensing is preferred, or a willingness to obtain it within 6 months of hire.
- Experience with account administration for registered and non-registered accounts, including RRSPs, TFSAs, corporate accounts, transfers, and client documentation.
- Strong Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint; experience with Dataphile and Raymond James systems is an asset.
- Excellent written and verbal communication, client service, organization, problem-solving, prioritization, and attention to detail.
- Experience with CRM systems, digital marketing or social media tools, client events, or personal tax filing is considered an asset.
Compensation
The base salary range for this role is $60,000-$65,000 annually, depending on experience, licensing, systems knowledge, and overall qualifications. Additional compensation, benefits, or incentive opportunities may be available.
