Original job description

About The Role:

Reign Maker Group is looking for an Executive Assistant to support our executive team. This is a hands-on role for someone who can bring structure to busy schedules, keep priorities moving, and handle shifting needs with sound judgment and discretion.

You’ll manage the details that help our leaders use their time well, while also coordinating projects and following through on work that spans teams. This role is a fit for someone early in their executive support career who has already shown they can take ownership, anticipate needs, and stay composed when plans change.

Note: This role requires a minimum of 2 days a week in-office in downtown Toronto. When applying on our external page, you may see "NY or LA"; this role is also open to Toronto applicants.

Responsibilities:

Manage complex calendars for the CEO and other executives, including scheduling, rescheduling, and prioritizing meetings.
Coordinate meeting logistics, agendas, materials, notes, and follow-up items.
Arrange travel, prepare itineraries, and help manage related expenses.
Track executive priorities, deadlines, and decisions; follow up with stakeholders to keep work moving.
Support projects that involve multiple leaders or teams by organizing timelines, documenting next steps, and monitoring progress.
Draft and proofread emails, presentations, and other communications as needed.
Serve as a thoughtful point of contact for internal and external partners, handling requests professionally and knowing when to escalate.
Help improve administrative workflows and create order as the business grows.
Handle sensitive information with care and discretion.

What you bring

At least two years of experience in executive assistance, administrative support, project coordination, or a similar role supporting senior leaders.
Excellent organization and follow-through, with the ability to manage competing priorities without losing track of details.
Strong judgment about urgency, confidentiality, and when to ask for direction.
Clear, polished written and verbal communication skills.
Confidence coordinating with people at different levels, both inside and outside the business.
Proficiency with calendars, documents, spreadsheets, presentations, and collaboration tools.
A resourceful, adaptable approach and a willingness to take ownership of tasks from start to finish.
