Accounting Technician / Bookkeeper

Position Summary
We are looking for an organized, detail-oriented Accounting Technician / Bookkeeper to manage the day-to-day bookkeeping and accounting data entry for a group of related companies operating in construction, roofing/exteriors, real estate, and property management.
The primary objective of this role is to ensure our accounting records are accurate, current, properly supported, and reconciled. This person will be responsible for processing routine transactions, maintaining supporting documentation, completing reconciliations, and ensuring transactions between related companies are accurately recorded.
This is a hands-on accounting role suited to someone who is comfortable working independently in QuickBooks Online and understands the fundamentals of bookkeeping, journal entries, reconciliations, and general ledger accounting.
Key ResponsibilitiesTransaction Processing & General Bookkeeping
- Enter and categorize day-to-day business transactions in QuickBooks Online.
- Prepare and post journal entries for material purchases, expenses, transfers, adjustments, and other transactions.
- Record and properly allocate material purchases and other project-related expenses.
- Enter and categorize corporate credit card transactions and receipts.
- Ensure receipts, invoices, and other supporting documentation are attached and properly maintained.
- Review transactions for proper account, company, project, vendor, and tax treatment.
- Identify duplicate, missing, unusual, or incorrectly categorized transactions.
Bank & Credit Card Reconciliations
- Reconcile bank accounts to monthly statements.
- Reconcile corporate credit cards and lines of credit.
- Investigate and resolve reconciliation discrepancies.
- Identify outstanding transactions, duplicate entries, missing receipts, and unexplained charges.
- Maintain accurate and up-to-date reconciliations throughout the month rather than allowing issues to accumulate.
Real Estate & Rental Bookkeeping
- Record rental payments and other property income.
- Track rent collected and identify outstanding or missing payments.
- Enter property expenses and ensure they are allocated to the appropriate property/company.
- Maintain organized accounting records for each rental property.
- Assist with tracking mortgages, property taxes, utilities, repairs, insurance, and other property-related expenses.
Intercompany Accounting
- Record transfers and transactions between related operating, holding, and real estate companies.
- Maintain accurate intercompany receivable/payable and shareholder loan accounts.
- Ensure both sides of intercompany transactions are properly recorded and balanced.
- Reconcile intercompany balances regularly and investigate discrepancies.
- Maintain clear documentation supporting intercompany transactions.
Accounts Payable & Expense Management
- Enter supplier and subcontractor bills as required.
- Match bills, receipts, payments, and credits.
- Ensure expenses are assigned to the correct vendor, account, project, and company.
- Review vendor statements and investigate discrepancies where required.
- Maintain organized digital records for invoices and receipts.
Month-End & Accounting Support
- Complete monthly bank and credit card reconciliations.
- Review balance sheet accounts for obvious errors or unusual balances.
- Ensure intercompany accounts are reconciled.
- Review uncategorized transactions and outstanding bookkeeping items.
- Prepare supporting schedules and documentation for the Controller, external accountant, or management.
- Assist with year-end accounting and information requests.
- Maintain organized books so financial statements can be relied upon by management throughout the year.
Qualifications
- 2+ years of bookkeeping, accounting technician, or similar accounting experience preferred.
- College diploma or certificate in accounting, bookkeeping, business administration, or a related field is an asset.
- Strong working knowledge of QuickBooks Online.
- Experience completing bank and credit card reconciliations.
- Understanding of debits, credits, journal entries, and general ledger accounting.
- Experience with multiple related companies and intercompany transactions is a strong asset.
- Construction and/or real estate accounting experience is an asset.
- Strong attention to detail and ability to identify discrepancies.
- Comfortable working with a high volume of transactions and supporting documentation.
- Strong organizational and time-management skills.
- Able to work independently and ask questions when the accounting treatment of a transaction is unclear.
What Success Looks Like
The Accounting Technician / Bookkeeper will be successful when:
- Bank and credit card accounts are reconciled accurately and on time each month.
- Transactions are entered promptly and supported by appropriate documentation.
- Intercompany accounts remain balanced and reconcilable.
- Material, operating, and property expenses are allocated to the correct company and account.
- Rental income and property expenses are accurately recorded.
- Uncategorized and unreconciled transactions are kept to a minimum.
- Management can rely on QuickBooks throughout the month rather than waiting for bookkeeping cleanup.
- Month-end and year-end accounting require minimal correction or cleanup by outside accountants.
- Accounting records and supporting documents are organized and easy to retrieve.
Scope of Role
This position is responsible for maintaining accurate day-to-day accounting records and supporting the company's financial reporting process. It is not expected to replace the company's external CPA or higher-level financial oversight.
Complex tax matters, year-end financial statements, corporate tax returns, and significant accounting decisions will continue to be handled or reviewed by the appropriate accounting professionals.
