Role Description The Medical Office Assistant is a part-time, on-site role based in Burnaby, BC. This role supports the smooth operation of the clinic by managing front-desk activities such as greeting patients, answering phones, and handling inquiries. Daily responsibilities include scheduling and confirming appointments, updating patient records, processing intake forms, and coordinating with clinical staff to ensure efficient patient flow. The Medical Office Assistant also assists with insurance verification, billing-related tasks, and general administrative duties such as filing, data entry, and maintaining a clean and organized reception area. The role requires consistent attention to detail, professional communication, and a commitment to providing a welcoming experience for all patients.
We are looking to hire someone for M/W/F/Sa 12pm-7pm M/W/F and 7:30am-2:30pm most Saturdays.
Qualifications
- Strong phone etiquette and ability to handle patient inquiries professionally and compassionately.
- Proficiency in appointment scheduling and managing calendars within medical or clinical settings.
- Working knowledge of medical terminology to communicate effectively with patients and healthcare providers.
- Experience with insurance verification and basic understanding of billing processes.
- Administrative assistance skills, including data entry, filing, and maintaining patient records with accuracy.
- Excellent interpersonal and communication skills, with a focus on patient service and confidentiality.
- Comfort with using clinic management software and common office applications (e.g., email, spreadsheets).
- Ability to work collaboratively in a clinical team environment and adapt to a fast-paced setting.
- Previous experience in a medical office or healthcare environment is an asset.
- Relevant training or certification as a Medical Office Assistant or in healthcare administration is preferred.
