Job Description
A growing multi-site healthcare practice in Ottawa is looking for a Senior Accountant to take full ownership of its day-to-day accounting function. The organization currently operates from a single location and is opening three additional sites, making this a rare opportunity to build the finance function rather than inherit one.
This role will initially take over work currently handled by an outsourced bookkeeper and will grow into oversight of the accounting records and reporting for the entire clinic group. You will work directly with the owner and a fractional CFO to put scalable processes, controls and reporting in place as the business expands. This is a full-cycle, hands-on role for someone who wants breadth and autonomy rather than one narrow area of finance.
Responsibilities
- Own the complete accounting cycle for the existing location and each new site as it opens
- Maintain accurate records in QuickBooks Online, including revenue, expenses, intercompany transactions, accruals, prepayments and fixed assets
- Complete monthly bank, credit card and merchant processing reconciliations
- Lead the month-end close and prepare income statements, balance sheets, cash flow reporting and supporting schedules
- Prepare location-level and consolidated reporting, including performance comparisons across sites and revenue streams
- Maintain billing records for associate practitioners and calculate amounts payable under agreed overhead arrangements
- Prepare settlement statements and reconcile billings, receipts, overhead charges, adjustments and payments
- Oversee accounts payable, including invoice coding, approvals, payment scheduling and vendor account reconciliation
- Reconcile revenue to billing systems, payment platforms and bank deposits, and monitor outstanding receivables
- Coordinate bi-weekly payroll and reconcile payroll, benefits and source deductions
- Prepare or coordinate EHT filings and support annual T4 and T4A processes
- Work with external accountants on year-end financial statements, corporate tax filings and supporting schedules
- Design and document practical internal controls covering approvals, payment authorization, settlements and reconciliations
- Support the financial setup of new sites, including banking, reporting and expense management
What We're Looking For
- Diploma or degree in accounting, finance or business administration
- Three or more years of progressive full-cycle accounting or senior bookkeeping experience
- CPA designation or active progress toward a CPA is preferred but not required
- Strong working knowledge of QuickBooks Online
- Advanced Excel, including pivot tables, lookup formulas and reconciliation schedules
- Proven experience running month-end closes and preparing management financial statements
- Background in accounts payable, reconciliations, payroll coordination, indirect tax filings and year-end working papers
- Comfortable using AI tools such as ChatGPT or Microsoft Copilot responsibly in a professional setting
- Clear communicator who can work with owners, clinical staff, vendors and external advisors
