Overview:
The Student Assistant provides critical support to the Director of Alumni & Donor Engagement by helping to foster lifelong relationships between the University and its graduates. This role is focused on event logistics, personalized stewardship, and multi-channel outreach and is ideal for a student interested in communications, event planning, or non-profit management. You will play a key role in ensuring our alumni feel valued and connected to the University through precise data tracking and high-quality event execution.
Responsibilities:
Key Responsibilities 1. Multi-Channel Communications Support β Assist in managing comprehensive communication schedules for the University website, e-newsletters, and e-blasts. β Support the production and distribution of direct mail campaigns. β Draft and proofread content for alumni newsletters and official electronic communications. 2. Engagement Tracking & Metrics β Help monitor and record alumni engagement metrics, specifically focused on event attendance. β Maintain accurate records of alumni interactions to ensure data integrity within the office database. 3. Event Planning & Execution β Provide "boots on the ground" support for major campus traditions, including Homecoming and Breakfast with Santa. β Assist with logistics for local and regional alumni events (RSVP tracking, materials preparation, and onsite registration). β Help manage event setup and breakdown to ensure a seamless experience for alumni and guests. 4. Stewardship & Personalized Outreach β Support the Director in maintaining a personal touch with our network through written correspondence. β Prepare and mail congratulatory cards, sympathy notes, and "milestone" mailings to donors and friends of the University. β Assist in maintaining the organization of donor records and physical mailing supplies.
Minimum Qualifications:
Qualifications β Communication Skills: Strong writing and editing skills with a high level of professional etiquette. β Attention to Detail: Precision in tracking attendance data and preparing physical mailings. β Reliability: Ability to assist with event logistics, which may occasionally include early morning or evening hours for major events. β Confidentiality: Ability to handle sensitive alumni information and donor records with total discretion. β Reliability & Schedule Flexibility: Ability to work specific campus events that may fall on evenings or weekends (such as Homecoming weekend or early morning holiday events like Breakfast with Santa).
