About the Role
We are currently seeking a highly organized, detail-oriented, and motivated Office Administrator / Bookkeeper / HR Administrator to join our growing team.
This is a versatile role that will support the day-to-day operations of our Calgary office, with responsibilities spanning office administration, bookkeeping and accounting support, human resources administration, payroll coordination, and employee records.
The ideal candidate is someone who is organized, reliable, comfortable working independently, and able to manage multiple priorities in a fast-paced construction environment.
Core Responsibilities
Office Administration
- Serve as a primary point of contact for employees, clients, vendors, and visitors.
- Manage incoming phone calls, emails, correspondence, and general office inquiries.
- Maintain office supplies, equipment, records, and overall office organization.
- Schedule and coordinate meetings, appointments, and company events.
- Prepare letters, reports, forms, spreadsheets, presentations, and other company documents.
- Maintain organized physical and digital filing systems.
- Assist management and project teams with general administrative requirements.
- Coordinate office-related vendors, services, and administrative tasks.
Bookkeeping & Accounting Support
- Assist with day-to-day bookkeeping and accounting activities.
- Process and organize vendor invoices, receipts, expense reports, and supporting documentation.
- Assist with accounts payable and accounts receivable administration.
- Track company expenses and maintain accurate financial records.
- Assist with invoice preparation, billing, and collection follow-ups as required.
- Reconcile transactions and assist with bank and credit card reconciliations.
- Assist with payroll preparation and coordination.
- Maintain organized financial records and documentation for accounting and audit purposes.
- Communicate with vendors and suppliers regarding invoices, payments, and account information.
- Work closely with management and external/internal accounting personnel to ensure accurate and timely financial information.
Human Resources Administration
- Support employee onboarding and offboarding processes.
- Maintain accurate and confidential employee personnel files and records.
- Assist with payroll and timesheet administration.
- Track employee vacation, absences, attendance, and other HR-related information.
- Maintain records of employee certifications, licenses, training, and other required documentation.
- Assist with preparation and administration of employment letters, forms, policies, and HR documentation.
- Support recruitment activities, including scheduling interviews and maintaining candidate records.
- Assist with employee communications and general HR inquiries.
- Support compliance with company policies and applicable employment requirements.
Health & Safety / Compliance
- Maintain up-to-date records relating to employee training, certifications, safety documentation, and compliance requirements.
- Assist with preparing materials for health and safety meetings, inspections, and audits.
- Help maintain WSIB, insurance, licensing, and other company compliance documentation.
- Ensure administrative records are complete, accurate, and properly organized.
Requirements
- 2+ years of experience in office administration, bookkeeping, accounting administration, HR administration, or a similar role is an asset.
- Previous experience in the construction, contracting, or trades industry is an asset.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills in English.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Ability to work independently while also supporting a broader team.
- Strong interpersonal skills and professional communication with employees, clients, vendors, and management.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with accounting, payroll, HR, or ERP software is an asset.
- Ability to handle confidential employee and financial information with discretion.
- A proactive, problem-solving mindset and willingness to take ownership of tasks.
