Role Description The Administrative Assistant is a full-time, on-site role based in Ottawa, Ontario. Monday - Thursday with alternating Friday’s. Responsible for supporting the daily operations of the dental practice. In this position, the individual will manage the front desk, greet patients, schedule and confirm appointments, and maintain accurate patient records and files. The role includes answering and directing phone calls, responding to email inquiries, coordinating patient flow, and supporting billing and insurance processing under guidance. The Administrative Assistant will prepare and organize documents, handle clerical tasks such as data entry, scanning, and filing, and assist the team with administrative support for dentists and management. This role requires attention to detail, a professional and friendly manner with patients, and the ability to work collaboratively with clinical and administrative staff.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage scheduling, records, filing, and general office operations.
- Professional Phone Etiquette and Communication skills to interact effectively with patients, team members, and external contacts.
- Experience or aptitude in Executive Administrative Assistance to support dentists and management with coordination, documentation, and follow-up tasks.
- Proficiency with office software (e.g., email, calendars, spreadsheets) and comfort learning dental practice or medical office systems.
- High level of organization, accuracy, and attention to detail in handling patient information and administrative processes.
- Customer service mindset, with a calm and empathetic approach toward patients who may be anxious or nervous about dental care.
- Ability to work on-site full-time in Ottawa, ON, and collaborate effectively within a small, multidisciplinary team.
Previous dental administration experience is required. Experience with dental terminology, scheduling, treatment coordination, and dental office procedures is considered essential.
