Reporting directly to the Director of Sales and Marketing, the Sales and Events Coordinator will work closely with the Sales Managers and play a key role in providing administrative and operational support to the department, coordinating group bookings, and assisting with event planning and execution.
The ideal candidate is highly organized, detail-oriented, versatile, and committed to delivering exceptional customer service. Previous experience in hospitality, sales, group coordination, or event management is considered a strong asset.
Key Responsibilities
Administrative Support and Sales Coordination
- Respond to incoming calls and inquiries related to sales, group bookings, and events.
- Handle client requests efficiently and ensure timely follow-up on all inquiries.
- Provide day-to-day administrative and operational support to the Sales Managers and the Director of Sales and Marketing.
- Facilitate effective communication and coordination between hotel departments, including Sales, Reservations, Front Desk, Food and Beverage, and Operations.
- Maintain accurate and up-to-date client records, databases, and departmental documentation.
- Prepare prospecting lists and conduct research to identify potential clients and support business development initiatives.
- Conduct hotel site inspections with prospective clients in the absence of the Sales Managers.
Group and Event Management and Coordination
- Oversee the administrative and operational coordination of group bookings and events, from confirmation through departure.
- Enter and update information in Opera Cloud, including corporate rates, group reservations, room blocks, and rooming lists.
- Create booking links for corporate accounts and group reservations using TravelClick or SynXis, as required.
- Coordinate group bookings, with or without events or catering services, in collaboration with the relevant hotel departments.
- Maintain regular communication with group organizers before, during, and after their stay to ensure a seamless experience.
- Monitor deposits, payments, and group billing arrangements.
- Prepare and distribute group resumes and operational documents to the appropriate departments.
- Prepare and distribute event and banquet documentation, as needed.
- Ensure that all relevant group and event details are communicated accurately and promptly to operational teams.
- Serve as a primary operational point of contact for groups and contribute to the smooth execution of their stay.
- Follow up on group billing and issue invoices after departure, when required.
Operational Support and Administrative Management
- Enter and submit invoices through Tipalti for approval and payment, ensuring appropriate follow-up.
- Prepare and manage staff schedules for the breakfast service at Château Versailles.
- Coordinate the ordering of food, supplies, and equipment required for the breakfast service at Château Versailles.
- Monitor inventory levels, anticipate operational needs, and ensure adequate supplies are available to support daily service.
- Perform any other related duties to support the efficient operation of the Sales Department.
Required Qualifications
- Excellent verbal and written communication skills in both French and English.
- Strong organizational skills, attention to detail, and a high level of accuracy.
- Ability to manage multiple tasks and priorities simultaneously while meeting deadlines.
- Ability to thrive in a fast-paced, dynamic environment while maintaining high service standards.
- Strong problem-solving abilities, sound judgment, initiative, and the ability to work independently.
- Excellent proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
- Professional, positive, and customer-focused attitude.
- Strong interpersonal and teamwork skills, with the ability to collaborate effectively across departments.
- Previous experience in hospitality, sales, group coordination, or event management is strongly preferred.
- Familiarity with hotel property management systems, particularly Opera Cloud, is considered an asset.
- Knowledge of TravelClick, SynXis, or Tipalti is an asset.
- Fluency in both French and English is required, as the position involves regular communication with local, Canadian, and international clients.
