Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Reporting to the Program Director - Child Health - WRHA/Director of Patient Services - Children’s Hospital - HSC, the incumbent provides confidential administrative support for the Regional Program as well as the Children’s Hospital. Duties include: managing the Program Director’s calendar, ensuring that the Program Director is aware of commitments, and providing supporting documents for meetings, scheduling appointments, arranging meetings and regular standing committee meetings including recording minutes, preparing agendas and other material; prioritizing activities and ensuring that all work is completed within established time frames; liaising with Nursing Supervisors, Managers of Health Services and administrative staff; entering on the computer a variety of correspondence, reports, minutes, spreadsheets and drafting routine correspondence; assisting in the analysis of financial and statistical information; assisting the Program Director with preparing performance appraisals for Managers of Health Services, Nursing Supervisors, Child Health Educators and staff schedulers and clerical staff who report to the Director.

Experience

Minimum of five to seven years related experience in a healthcare setting, preferably at a senior level.
Experience setting up spread sheets and databases required.

Education (Degree/Diploma/Certificate)

Complete high school education, Manitoba Standards, required.
Successful completion of a recognized secretarial training program required.
A combination of education and experience may be considered.

Qualifications And Skills

Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
Typing 50-60 wpm required.
Proficiency in the use of Microsoft Office, including Outlook, Word, Excel, Access and PowerPoint required.
Knowledge of the Internet and Internet Explorer required.
Medical Terminology (pass mark 75%) preferred.
Excellent decision-making skills and the ability to coordinate workflow and develop effective work processes.
Must have excellent English communication skills, both oral and written.
Must be able to work collaboratively and communicate effectively with all levels of staff, administration, Winnipeg Regional Health Authority (WRHA) and the public.

Physical Requirements

Must be able to function independently in a fast-paced environment with a heavy workload.
