Reporting to the Manager of Employee & Labour Relations, the Human Resources Coordinator is responsible for coordinating the Board's recruitment functions and supporting the Criminal Background Check (CBC) / Vulnerable Sector Check (VSC) processes. The position provides daily customer service and guidance to school administrators, management, and department staff while offering ongoing support to Human Resources Business Partners (HRBPs) and HR projects
Specific Duties And Responsibilities Include
- Applicant Tracking System (ATS) Management: Act as the primary contact for ATS data accuracy; research new features, manually manage candidate statuses, tags, seniority dates, and board experience numbers, and maintain candidate profiles.
- Candidate & Selection Management: Pre-screen and shortlist applicants, schedule interviews, create interview questions and skills tests, conduct interviews across employee groups, run reference checks, draft offer letters, and send job offers.
- Job Postings & Customer Service: Create internal and external job postings in collaboration with hiring managers; provide guidance to Principals, Superintendents, and leaders regarding recruitment practices.
- On-Boarding Coordination: Facilitate onboarding sessions, collect required candidate paperwork, issue hiring. documentation for HRIS data entry, coordinate training with hiring managers, and arrange supply coverages for attendees.
- CBC and VSS Process Administration: Administer the background check process board-wide, liaise with police detachments, consult with the Executive Human Resources Officer (EHRO) on unsatisfactory results, and ensure secure, confidential document storage.
- Projects & Initiatives: Track and analyze recruitment data, maintain procedural documentation, and assist HR Business Partners and the Manager of Employee & Labour Relations with HR initiatives.
Required Skills And Qualifications
The successful candidate will bring the following skills and experiences to the role:
- College Diploma in Human Resources (Undergraduate Degree or CHRP designation preferred).
- 3 to 5 years of related HR experience.
- Solid understanding of HR-related legislation, recruitment practices, and multi-collective agreements.
- Proficiency with MS Office; experience with Google Suite and ATS tools is an asset.
- Strong interpersonal and communication skills to influence, advise, and collaborate with internal leadership, unions, and external candidates.
- Strong problem-solving, organizational, and time-management skills to prioritize daily workload and handle confidential matters with discretion.
