General Description
The Procurement Coordinator leads and oversees the procurement function, advising managers
on purchasing methods and processes, ensures timely delivery of high-quality goods and
services at the best possible price. This position handles requests for expressions of interest,
RFP’s, tenders, standing offers, and purchase card transactions. The role is particularly
adept at identifying needs, negotiating contracts, managing supplier relationships and
multiple contracts.
Responsibilities
- Managing corporate credit card program.
- Generating documents – preparing RFP, tender and standing offer documents.
- Sourcing and purchasing – identifying needs, researching suppliers, selecting
vendors.
- Contract review and interpretation – analyzing contract terms and conditions and
creating action items for follow up to ensure fulfilment of obligations.
- Supplier relationship management – building and maintaining strong relationships
with suppliers, acting as main point of contact, and resolving issues; maintaining
accurate supplier information; regularly reviewing preferred supplier lists to ensure
best value.
- Order management – creating and tracking purchase orders, ensuring timely and
accurate deliveries; centralizing common purchases across organization, such as
office supplies.
- Documentation and record keeping – maintaining accurate digital and paper records
of standing offers and contracts; tracking expiry dates and establishing adequate
bring forward action items for renewals or new procurements.
- Process improvement – identifying opportunities to improve procurement processes,
reduce costs and enhance efficiencies.
- Communication and collaboration – working with departments to provide guidance on
appropriate procurement processes; collaborating with suppliers to ensure smooth
and efficient procurement processes.
- Generating internal ad hoc and routine reporting.
- Generating external reports as may be required.
- Developing initial procedural documentation for position; maintaining procedural
documentation to ensure accuracy and reduce organizational vulnerability.
- Actively participate in committees as required.
- Review Utilities Request for Payment for merit, accuracy and rates.
- Review Petroleum Request for Payment for merit, accuracy and rates.
- Liaise with Managers with regards to coding and adherence to contracts.
Qualifications and Experience/Skills
- Undergraduate Degree in a related field; business, accounting. A combination of education and experience may be considered but must demonstrate a willingness to achieve suitable education.
- Minimum 1 year experience.
- Strong verbal and written communication skills.
- Professional and calm demeaner with ability to respect the confidentiality of others.
- Ability to lead by example in maintaining a positive attitude and friendly demeanor.
- Knowledgeable and familiar with the Community of Sipekne’katik.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
- Strong negotiation skills.
- Ability to organize data, working and maintaining a database is an asset.
- Strong attention to detail.
- Propensity to learn new software and develop new processes.
- Knowledge of and/or experience working in an Indigenous and/or First Nation communities/organizations is an asset.
- Must have access to reliable transportation.
- A Criminal Record check is required.
Working Conditions
- 5 days per week, Monday to Friday 8:00am to 4:00pm daily, 35 hours weekly
