SMS Security has protected people and property since 1988. Headquartered in Toronto, we proudly serve multi-residential condominium communities across the Greater Toronto Area, providing guard services, installation and servicing of security systems, mobile patrol, and parking enforcement. We are in a multi-year transformation to grow into a full-service security company, and technology is one of the pillars that growth depends on. We’re looking for a Manager, IT Business Systems who is eager to grow with us and help build the systems and processes that support our continued success.
The Role
Reporting to the CEO, the Manager, IT Business Systems will help lead SMS’s technology journey as we add new systems to streamline how work gets done and give leaders better insight into the business. Over the next year, we plan to introduce new platforms for customer relationship management (CRM), workforce scheduling, learning management and financial planning.
This is not a help-desk or infrastructure role. Day-to-day IT operations are delivered by our managed service provider (MSP), and you will own that relationship and hold them to a high standard. Your focus will be on managing our technology partners so SMS gets real value from them, leading the selection (currenty underway), implementation and integration of new systems, and making sure those systems produce reliable data that leaders can trust and use. Business owners will lead the choice of each new system; you will be the person who sees the whole picture: how the systems fit together, what data flows between them, and what the business gets out of them.
What You’ll Do
- MSP & Vendor Management: Act as the primary point of contact for our MSP, setting clear expectations, tracking service levels, holding regular service reviews and escalating issues. Ensure the MSP covers the basics well, including user support, devices, networks, cybersecurity, backups and onboarding and offboarding. Negotiate and manage contracts, renewals and performance for our software vendors and get the most value from what we pay for.
- System Selection & Implementation: Take part in system selections led by business owners and outside consultants, bringing the technical perspective on integration, fit with ServiceTitan and existing technology, data, security and total cost. Lead implementations with vendors and consultants, including integrations, data migration, user access, testing and go-live readiness, and set up or oversee integrations, working with integration partners where needed, so data is entered once and flows where it is needed. After launch, own system administration, configuration changes and ongoing improvements.
- Microsoft 365 Migration & Administration: Support the company’s migration to Microsoft 365 with our MSP (currently in progress), then manage the environment on an ongoing basis, including security configuration, user access, licensing and onboarding and offboarding in partnership with HR.
- Technology Strategy & Stack Design: Build and maintain SMS’s technology roadmap with the leadership team, linked to the company’s growth plan, and lead its execution. Maintain the target technology stack, including which system does what, which is the source of truth for each type of data and how systems connect. Help the company adopt AI tools responsibly, including usage guidelines. Keep the stack simple by avoiding overlapping tools and retiring what we no longer need.
- Adoption & Change: Help teams adopt new tools through training, simple guides and support for frontline staff with limited desk time. Track whether systems are being used as intended and fix what is getting in people’s way.
- Data & Reporting: Partner with business owners to ensure our systems produce reliable, connected data, with clear standards, quality checks and access controls. Work with Finance and business leaders to define reporting needs and make sure the right data is available to meet them. Support the KPI dashboard and leadership reporting.
- IT Budget & Governance: Own the IT budget, including licences, subscriptions and managed services, and make the case for new investments. Write and maintain IT policies, including acceptable use, access and data handling.
What We’re Looking For
- 5+ years in IT or business systems, with some leadership experience at a mid-sized organization and knowledge of IT security and privacy fundamentals
- Post-secondary degree or diploma in Computer Science, Information Technology or a related discipline, or an equivalent combination of education and experience
- At least one end-to-end business system implementation with vendors
- Experience managing a managed IT service provider and software vendors, including negotiating contracts, managing service levels and holding vendors accountable for performance
- Microsoft 365 administration
- Strong grasp of how systems connect, including integrations, APIs, data flows and systems of record
- Excellent written and verbal English communication skills, with the ability to translate between business teams, vendors and executives and bring non-technical staff along
- Business-minded and practical: starts with the problem the business needs solved, not the tool, and gets systems live and used, not just bought
Nice to Have
- Experience with ServiceTitan, including administration, integrations or reporting
- Hands-on experience with workforce scheduling platforms, CRM platforms, accounting, ERP or a learning management system (LMS)
- Experience applying AI tools in business workflows
- Experience with data quality and business reporting, including Power BI or similar reporting tools
- Project management training or certification (e.g., PMP)

Salary Range: $110,000-$125,000 plus eligibility for a discretionary incentive
