POSITION SUMMARY: Under the direction of the Director of Marketing & Customer Service - Canadian Region, the Customer Service Representative has been assigned responsibilities for specific areas. The incumbent will be responsible for coordinating the import/export notifications for obtaining permits, the return of refusals and outgoing materials, and the coordination of activities related to taking orders from certain customers, including logistics and invoicing.
PRINCIPAL RESPONSIBILITIES:
- Acts as the main contact person for government authorities and generators/customers regarding the follow-up of all files related to the import-export of residues.
- Prepares applications for import/export permits based on the needs of new generators/customers and permit renewal timelines. Prepares the necessary documentation (such as transport documents) and sends it to the various authorities concerned.
- Validates the accuracy of the information required for notifications in collaboration with the technical advisor.
- Maintains up-to-date computer systems for managing import-export notifications, including new applications and renewals. Maintain the register of refusals and ensure the accuracy of the information.
- Conducts weekly verification of the volumes used under each import permit. Identify cases that exceed 60% and ensure that the files are amended.
- Checks the validity of insurance certificates and permits for the carriers listed on the notifications.
- Is involved in Environment Canada's modernization and automation projects and their impact on clients.
- Stays updated on regulations in place, the proposed modifications and their impact on the company and the client.
- Coordinates the returns of outgoing materials (empty containers, recoverable residual materials, hazardous materials) with production, scale and customer service.
- Applies for export or diversion permits from government authorities and generators/customers.
- Other non-essential duties as assigned or may be necessary.
QUALIFICATIONS:
- Knowledge of operations to meet the needs and expectations of clients
- Knowledge of continuous improvement practices and services offered to clients
- Ability to comply with company quality policies through applied methods, procedures and work instructions
- Excellent communication skills both written and verbal in French and English
- Advanced Microsoft office suite skills
- Knowledge of the transportation of dangerous goods is an asset
- Ability to work in a team environment
