The Opportunity
The Inclusion, Talent and Training team in Human Resources is looking to add a team member in Calgary to support the Training Centre of Expertise. The Training Services and Systems team is seeking a service-oriented Training Systems Analyst in Calgary, AB to support learning service requests through ServiceNow and the enterprise Learning Management System ecosystem. This role is suited to an individual who can follow established processes, provide timely and accurate user support, resolve routine learning and system issues, and escalate more complex requests as needed.
Reporting to the Team Lead, Training Services & Systems – this role will be part of a team of technical administrators supporting learning operations and Learning Management Systems. The ideal candidate will have strong attention to detail, the ability to manage assigned service requests within established service standards, and a customer-focused approach to communicating status, next steps and resolutions. This role will support learning service requests in ServiceNow, including intake review, categorization, basic troubleshooting, resolution of standard requests, escalation of complex issues and clear ticket documentation. The role will primarily support Workday Learning and SuccessFactors LMS users and contribute to accurate records, consistent processes and a positive learner support experience.
What You’ll Do
- ServiceNow ticket management and user support:
- Monitor assigned learning service requests in ServiceNow and respond in a timely, accurate and customer-focused manner.
- Review ticket details, confirm required information, categorize requests and communicate next steps to users and stakeholders.
- Resolve standard LMS-related tickets, including access, registration, completion credit, learning assignments, course offerings and basic navigation issues.
- Escalate complex or non-standard tickets to the appropriate owner with complete notes and supporting details.
- Maintain accurate ticket notes, resolution details and supporting documentation in alignment with established processes.
- Learning Management System administration and issue resolution:
- Record completion credit in the LMS by reviewing completion documents against established guidelines and updating system records accurately.
- Support routine LMS administration, including learning profiles, assignments, course offering information, user registration and basic troubleshooting.
- Provide learners and business partners with clear guidance on system navigation, training completion issues and required follow-up actions.
- Assist with training audit requests by locating learning records, validating data and preparing supporting information as directed.
- Process documentation and continuous improvement support:
- Identify recurring questions or common ticket themes and share observations with the team to support service improvements.
- Update job aids, knowledge articles and support documentation as directed to promote consistent ticket handling.
- Support business partners with standard training reports, scheduling support and learning assignment updates where required.
- Support training-related tasks and system activities in accordance with documented procedures and team guidance.
Minimum Qualifications
- High School Diploma; post-secondary education or related certification is an asset.
- Up to 2 years of related experience in learning operations, HR services, records management, service delivery or system administration.
Preferred Qualifications
- Experience responding to, updating and resolving tickets in a service management tool; ServiceNow experience is an asset.
- Experience supporting users in a Learning Management System; Workday Learning and/or SuccessFactors LMS experience is an asset.
- Proven skills in Microsoft Office, including Word, Excel, PowerPoint and Outlook; strong general computer skills, file management, accurate data entry and basic troubleshooting.
- Ability to prioritize assigned work, manage multiple service requests and meet established service timelines. Ability to document issues clearly, maintain accurate ticket notes and communicate resolution steps in a professional and user-focused manner.
- Problem-solving skills with the ability to investigate routine data, access, registration, completion and assignment issues.
- Clear written and verbal communication skills, including the ability to document ticket updates and user instructions accurately.
- Sound judgment handling sensitive learning and employee information; understanding of privacy and data governance expectations.
- Experience with ServiceNow queues, ticket updates, knowledge articles or basic reporting.
- Experience with tools such as Power BI, Power Automate, SharePoint or Teams to support reporting, documentation or service operations.
- Experience in Learning & Development, Human Resources, Records Management or shared services environments.
- Previous exposure to field operations environments, preferably in oil and gas services and/or Human Resources.
- Knowledge of French and/or Spanish.
