We are seeking an Appeals Assistant to provide administrative, hearing, client service and document support to Appeals Officers, Hearing Chairs, Vice Chairs and Commissioners. The successful candidate will act as a key point of contact for parties participating in appeal hearings and will support the appeal process before, during and after hearings.
Key Responsibilities
- Provide administrative support to Appeals Officers and other internal stakeholders.
- Prepare and distribute correspondence to participating parties.
- Create Document Indexes for Appeal Documents Packages.
- Notify Appeals Officers of new submissions, hearing changes, adjournments and other relevant circumstances.
- Coordinate teleconference and video conference information for hearings.
- Provide instructions to participants attending hearings in person, by telephone or by video conference.
- Attend and record appeal hearings.
- Troubleshoot and resolve hearing-related process or technical issues.
- Respond to client and stakeholder inquiries before hearings.
- Support clients when distress, emergency or crisis situations arise.
- Maintain accurate appeal and hearing statuses within ACES.
- Monitor status benchmarks and timelines for assigned work.
- Work with internal teams to resolve reporting errors or omissions.
- Format and proofread Hearing Chair decisions.
- Review policy and legislative references within decision documents.
- Provide plain-language and editing feedback.
- Ensure decisions comply with Appeals Commission style and formatting requirements.
- Communicate with Hearing Chairs regarding suggested changes or apparent errors.
- Prepare final decisions for publication and distribution, including publication on CanLII.
Must-Have Qualifications
- High School Diploma or GED.
- Minimum 2 years of relevant experience in a similar administrative, coordination or support role.
- Minimum 2 years of experience working directly with clients and/or stakeholders.
- Minimum 2 years of experience using Microsoft Office Suite.
- Minimum 2 years of experience working in a fast-paced environment.
- Minimum 2 years of experience adapting to new business environments and working with business and technical teams.
- Clear verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Strong attention to detail.
- Ability to interact professionally with internal and external stakeholders.
Nice to Have
- Relevant post-secondary education in office administration or a related field.
- 2+ years of experience with information governance, records management or information management.
- 2+ years of experience with privacy, security and information management concepts.
- Experience working within the Government of Alberta, including 1GX, or a comparable government environment.
- Experience working with workers compensation systems such as WCB.
