The Role:
We're looking for someone to support our entire team across the board, not just one person. This is a back office, high trust role. You'll be the person keeping schedules, workflows, and day to day operations organized and running smoothly across multiple brands

What You'll Be Doing:
This role is multifunctional across all departments. You'll have key tasks you own, but you'll also get exposure and hands-on learning across the business.
Core responsibilities:
Calendar management, including reservation and meeting setting with reminders
Travel bookings
Contract markups
Issuing offer writing
SOP management and coordination
Invoicing
General task management for the team, making sure everything moves through a proper workflow
Team budget tracking
Cross-departmental exposure:
Marketing
Public relations
Event production
Sponsorship
Who You Are:
•Currently enrolled in a program
•Interested in growing into an assistant or coordination role
•A strong understanding of general finance management
•A strong communicator
•Highly organized
•Hospitality or sales experience is a strong asset
Comfortable when the plan changes at the last minute (it will)
•A doer. You'd rather ask a question and try than wait to be told exactly what to do
•Based in or around Vancouver
•Aligned with our values: connection and community over competition, and a genuine belief that a rising tide floats all boats
Travel may be required from time to time
Term: Until May 31st, 2027 (the right candidate will then be offered a summer position with the festival crew!)
Initial 3-month probation
Start Date: October | Through the VSF internship program
Standard working hours are 9:30am to 2:30pm, Monday to Friday, with flexibility around your class schedule.
25 hours/week, with the potential for additional hours over event weeks $22/hour

Qualifications
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
