We are looking for a highly organized and efficient Records & Office Administrator for a six-week project at our Toronto office.
The primary focus of the role is to digitize and organize our physical records into a clear, logical Microsoft OneDrive filing system. This includes reviewing documents, understanding generally what they relate to, scanning and naming files, organizing folders, and identifying documents that can be securely disposed of.
The role will also involve reorganizing existing digital files and assisting with general office and filing-area organization.
This is not simply a scanning or data-entry position. We are looking for someone who can work quickly, exercise good judgment, and independently organize a large volume of documents.
Responsibilities
- Review, sort, scan and organize physical documents
- Identify document types and determine appropriate filing categories
- Apply clear and consistent file names and OneDrive folder structures
- Identify duplicate, obsolete or unnecessary records for review or disposal
- Reorganize existing digital files where required
- Organize filing cabinets, storage areas and general office records
- Flag unclear or sensitive documents for management review
- Maintain confidentiality when handling business, financial, legal and employee records
Requirements
- Previous administrative, records-management or office experience
- Strong organizational skills and attention to detail
- Ability to quickly understand and categorize general business documents
- Strong computer and digital file-management skills
- Comfortable using Microsoft OneDrive and Microsoft Office
- Able to work independently and efficiently with minimal supervision
- Good judgment when dealing with confidential or unclear documents
- Able to commit to the full six-week contract
Preferred Experience
Experience with document digitization, shared-drive organization, or legal, accounting, corporate or real-estate records is an asset.
Ideal Candidate
You are someone who can take a large volume of disorganized physical and digital records and turn them into a clean, consistent and easy-to-navigate filing system.
You work quickly without sacrificing accuracy, are comfortable making reasonable organizational decisions, and know when something should be flagged rather than discarded or filed incorrectly.
Compensation for the role is $28/h. Hours are M-F, 9am to 5pm.
