About the Integrated Health Centre
The Integrated Health Centre (IHC), part of Toronto Metropolitan University’s School of Medicine, is a community-focused healthcare centre located in Brampton. The IHC brings together primary care and other health services within an integrated, team-based model designed to support the diverse healthcare needs of the community.
With a focus on patient-centred, inclusive and collaborative care, the IHC provides an environment where healthcare professionals work together to improve access to high-quality care while supporting the School of Medicine’s broader commitment to transforming healthcare delivery in Brampton and surrounding communities.

About the Team
The Integrated Health Centre (IHC) is supported by a collaborative, interprofessional team committed to providing accessible, patient-centred care to the diverse communities we serve. Our team brings together medical service providers, clinical and administrative staff, and other healthcare professionals who work closely to support seamless and coordinated care.
As part of the IHC team, you will work in a dynamic and evolving clinical environment where collaboration, communication and continuous improvement are central to how we work. Team members contribute to both the day-to-day delivery of high-quality patient care and the continued growth and development of the IHC.
The Opportunity
We are seeking a Medical Office Assistant (MOA) to join our Integrated Health Centre team! The Medical Office Assistant supports the clinical and administrative operations of the IHC and plays an important role in creating a seamless, patient-centred experience. Working closely with physicians and the broader interprofessional team, the MOA provides both medical office administration and direct clinical support to enable the effective delivery of primary care. The role coordinates physician schedules, facilitates patient communication, maintains accurate medical documentation and supports patient intake and clinical procedures. The Medical Office Assistant also contributes to maintaining safe, organized and well-equipped clinical spaces in accordance with applicable privacy, infection prevention and clinical standards.
1. Clinic and Schedule Coordination
i. Coordinates physician’s calendar by booking, rescheduling, and canceling appointments to balance quality care and optimize flow and provider workload.
ii. Supports appointment efficiency by preparing visit information, confirming patient details, and flagging urgent scheduling needs to medical service providers.
iii. Monitors clinic inboxes (incoming emails and faxes) to ensure timely review and triage/routing of information to the appropriate providers, staff, or departments.
2. Patient Communications and Administrative Tasks
i. Handles phone calls and email correspondences with patients and external partners, providing clear information and timely follow-up.
ii. Relays patient messages promptly and accurately to medical service providers, documenting in the Electronic Medical Record (EMR) as required.
iii. Completes medical service provider-assigned tasks, including booking follow-ups, preparing referrals, delivering instructions or updates to patients, and processing billing for cancellations or documentation.
3. Medical Records & Documentation
i. Scans, uploads, and bills for medical documents in accordance with privacy regulations.
ii. Prepare and transmits complete medical records to third parties (e.g., insurers) upon request, ensuring accuracy and confidentiality.
iii. Updates the Electronic Medical Record (EMR) system to reflect current patient information, test results, and communications.
4. Patient Intake and Clinical Assistance
i. Calls and escorts patients to exam rooms and records vital signs, including Blood Pressure (BP), Heart Rate (HR), temperature, etc., in the EMR.
ii. Administers vaccines and document administration in the EMR following established protocols.
iii. Performs clinical tasks such as wound dressings and point-of-care testing (POCT) including urine dips and strep swabs, and reports results to medical service providers.
iv. Prepares exam rooms with necessary supplies for procedures (e.g., Intrauterine Device (IUD) insertions, cryotherapy)
5. Specimen Handling and Infection Control
i. Labels and prepares specimens for external lab pickup, ensuring proper documentation and packaging.
ii. Sterilizes equipment and disposes of biohazard materials following infection-prevention standards.
iii. Maintains vaccine refrigerator logs and monitors temperature to meet public-health requirements.
6. Equipment & Inventory Maintenance
i. Ensures exam rooms are stocked and clean, and ready for use at the start of each day.
ii. Monitors and restocks clinical supplies, including vaccine inventory, and places orders as needed to avoid shortages.
iii. Maintains basic equipment (e.g., BP cuffs, thermometers) by cleaning, checking functionality, and reporting maintenance issues to supervisors.

Qualifications

- Completion of a secondary school graduation diploma.
- Medical Office Assistant (MOA) certification or equivalent healthcare administrative training.
- A minimum of 2 years of relevant work experience in a clinical or primary care setting performing medical office administration and/or direct patient support, including activities such as scheduling, EMR documentation, patient intake and specimen handling.
- Familiarity with Electronic Medical Record (EMR) systems and digital communication tools.
- Strong organizational, customer service and patient-centred communication skills.
- Demonstrated ability to multitask, prioritize and manage competing demands in a fast-paced clinical environment.
- Ability to administer vaccinations and appropriately handle and prepare clinical specimens.
- Understanding of privacy and health-information confidentiality requirements, including the Personal Health Information Protection Act (PHIPA).
- Knowledge of basic clinical measurements and documentation practices.
- Strong attention to detail and demonstrated ability to maintain accurate and confidential patient information.
- Ability to work effectively both independently and collaboratively within an interprofessional healthcare team.
