About the Opportunity:
Toppan Merrill has an exciting opportunity for a Document Specialist to join our #hybrid team. You will support the production, onboarding, optimization, and troubleshooting of client disclosure documents using the Quinn platform. Working closely with clients and internal stakeholders, you will ensure document quality, accuracy, and compliance while delivering exceptional customer service.
Job Responsibilities:
- Onboard Microsoft Word documents into the Quinn platform and prepare files for production.
- Run document cleanup processes, apply style tagging, and validate formatting accuracy.
- Generate, review, and troubleshoot document proofs to identify and resolve formatting or production issues.
- Support clients with document edits, platform questions, and issue resolution.
- Participate in document set-up, optimization, and ongoing maintenance activities.
- Collaborate with Customer Success, Production Design, Proxy, and other cross-functional teams to deliver exceptional client service.
- Participate in User Acceptance Testing (UAT) for platform enhancements and new releases.
- Document processes and contribute to continuous improvement initiatives across the Document Services team.
Schedule:
- 1st Shift: 8:00 AM - 4:30 PM CT
- 2nd Shift: 2:00 PM - 10:30 PM CT
- With on-call weekends once a month 8am CT to 9:30pm CT
Hybrid work arrangement: 1 day in-office per week.
- Minnesota employees work onsite Thursdays.
- New York employees work onsite Wednesdays.
- Ontario schedule to be determined.
About You:
- BA/BS degree in Business or a related field preferred, or equivalent combination of education and experience.
- 1+ year of advanced Microsoft Word, document production, desktop publishing, or related experience preferred.
- Strong understanding of document styles, formatting, proof review, and print production concepts.
- Experience in a client-facing, customer service, or support-oriented environment.
- Ability to identify, troubleshoot, and resolve formatting and document production issues.
- Strong attention to detail with the ability to manage multiple priorities and deadlines.
- Experience with HTML, XPP, disclosure documents, legal document services, publishing, or typesetting is a plus.
