About the Role
TFA Agency is looking for an organized, proactive and detail-driven Project Manager, Events & Operations to coordinate and execute corporate events, projects and agency initiatives.
This is a hands-on, independent role where you will be responsible for managing your own workload, timelines and priorities while ensuring events and projects are organized and executed successfully.
The ideal candidate has experience working with corporate companies and professional clients and understands the level of communication, organization and attention to detail required in a corporate environment.
Key Responsibilities
- Manage your own schedule, priorities, deadlines and deliverables
- Create and maintain event timelines, workback schedules and checklists
- Coordinate corporate events from planning through on-site execution
- Communicate professionally with corporate clients, venues, vendors and suppliers
- Research and coordinate event venues and locations
- Coordinate food and beverage requirements
- Coordinate audiovisual, technical and presentation requirements
- Prepare event schedules and run-of-show documents
- Coordinate signage, banners, branded materials and event collateral
- Track merchandise and promotional materials
- Prepare “Know Before You Go” documents and event communications
- Coordinate flights, hotels, ground transportation and airport transfers
- Prepare detailed travel itineraries
- Confirm event and travel arrangements
- Maintain organized event files, schedules and documentation
- Assist with event setup and breakdown
- Provide on-site event support
- Troubleshoot logistical issues as they arise
- Ensure deadlines and event requirements are completed accurately and on time
Requirements
- Minimum 2 years of experience working with corporate companies, corporate clients, corporate events, production or an agency environment
- Experience coordinating or executing corporate events
- Ability and willingness to travel within Canada and internationally when required
- Availability to work 30 hours per week
- Flexibility to work occasional evenings and weekends based on event schedules
- Excellent organizational and time-management skills
- Ability to work independently and manage your own workload
- Strong written and verbal communication skills
- Strong attention to detail
- Ability to manage multiple events, deadlines and priorities
- Professional and confident when communicating with corporate clients, executives, vendors and venues
- Resourceful and able to problem-solve independently
- Comfortable working in a fast-paced environment where schedules and priorities may change
- Proficiency with Google Workspace and/or Microsoft Office and project management tools
