Role Description The Office Admin role is a full-time, on-site position located in Scarborough, ON. This role is responsible for managing front-desk operations, including greeting patients, answering phone calls, scheduling appointments, and maintaining patient records in accordance with clinic protocols and privacy regulations. The Office Admin supports the clinical team by coordinating referrals, preparing documents, and ensuring examination rooms and administrative areas are organized and stocked. Additional responsibilities include handling billing and OHIP-related paperwork, processing payments, managing incoming and outgoing communications, and assisting with day-to-day administrative tasks to ensure smooth clinic operations. The successful candidate will provide professional, compassionate service to patients while maintaining a calm, organized, and efficient office environment.
Qualifications
- Strong administrative and organizational skills, including appointment scheduling, records management, and file maintenance.
- Proficiency with office technologies and software such as EMR systems, email, calendars, and basic word processing and spreadsheet tools.
- Effective communication and interpersonal skills to interact professionally with patients, clinical staff, and external partners.
- Detail-oriented approach with ability to handle billing tasks, OHIP forms, data entry, and document preparation accurately.
- Ability to manage time, prioritize tasks, and work efficiently in a fast-paced clinical environment.
- Demonstrated commitment to patient confidentiality and compliance with healthcare privacy regulations.
- Previous experience in a medical office, clinic, or healthcare setting is an asset.
- Completion of a medical office administration program or equivalent experience is preferred.
