Job Responsibilities
This position reports to the Coordinator, Audience and Artist Services and is responsible for the development, implementation and maintenance of the volunteer program at the Oakville Centre for the Performing Arts. The position provides direct administrative, operational, and scheduling support to the Coordinator, Audience and Artist Services on a weekly basis. Hours will include daytime, evenings, weekends and holidays as required.
Additional Duties Include
- Promote volunteering through recruitment and publicity strategies and campaigns.
- Assist in developing and maintaining the volunteer program under the guidelines of the Town of Oakville’s policies and compliance with all Health and Safety regulations.
- Recruit and screen new volunteers to meet the OCPA program needs.
- Prepare and conduct appropriate pre-season and ongoing leadership training and development for volunteers.
- Provide coaching and support to all volunteers to ensure the quality and continuity of excellent service is provided.
- Work with all departments to determine that sufficient volunteer resources are scheduled.
- Schedule, track and maintain volunteer hours using volunteer software program; Better Impact.
- Plan and facilitate volunteer recognition events.
- Monitor Front of House and volunteer policies and procedures, provide suggestions for changes on policies affecting the Volunteer team; monitor for effective use of resources.
- Keep up to date with legislation and policy related to volunteering and suggesting any necessary modifications to accommodate changes.
- Provide both administrative and operational support to the Coordinator, Audience and Artist Services.
- Support the Front of House team, carrying out front line positions as required.
- A flexible schedule to include including daytime, evenings and weekends as required.
- Key holder to open and close the building for scheduled events.
- Act as a house manager on performance nights, being responsible for all volunteers and front of house staff, concession operations, audience services, complete post show reports, nightly bank deposit from concessions and merchandise.
- Assist with department administration including show settlement including resolving scheduling conflicts and advancement of event details.
- Plan and prioritize critical path for each performance.
- Have full knowledge and respond effectively to emergencies and evacuation procedures.
- Other duties as assigned.
Qualifications
- 3 years Customer Service experience in a busy environment.
- Completion of a College or University Program or equivalent, with a focus in Recreation, Hospitality or Culture Services or a related field considered an asset.
- 2 years of experience supervising or working with Volunteers.
- 2 years of experience working in performing arts, event planning, hospitality or a retail management environment would be an asset.
- Proficiency in Microsoft Suite preferred, and knowledge of other computer programs would be an asset.
- Strong communication skills in order to effectively deal with patrons, clients, artists, staff and volunteers.
- Ability to work independently and effectively manage time and resources.
- Smart Serve Certificate and First Aid Certificate required within 2 months of hire.
- Some heavy lifting is required.
