The TransX Group of Companies has an exciting opportunity for a Customer Service Administrator to join the Terminal Operations department in Vancouver. Reporting to the Terminal Manager, the Customer Service Administrator plays a pivotal role in maintaining efficient terminal operations and supporting the regular team during a temporary leave. This position is responsible for providing exceptional support and resolution to customer inquiries, supporting the planning and optimization of transportation routes, coordinating daily operations, and ensuring precise data management within internal systems and CRM software

KEY RESPONSIBILITIES
- Customer Inquiry & Communication Management: Respond to customer questions promptly via phone, email, and live chat with clarity and professionalism. Investigate and resolve customer complaints, provide appropriate solutions, and escalate unresolved issues when necessary. Provide accurate details regarding company products, services, and billing policies.
- Transportation Planning & Coordination: Assist in planning and optimizing transportation routes and coordinate daily pickup and delivery operations. Communicate effectively with drivers, customers, and internal teams to ensure smooth terminal execution.
- Documentation & Order Processing: Handle inbound sales orders and process invoice adjustments. Prepare and process transportation documents (delivery notes, bills of lading), coordinate product returns/refunds, and generate routine inventory or service reports.
- Shipment Tracking & Data Maintenance: Track shipments and update statuses in internal systems. Log, update, and maintain precise customer profiles, case notes, and support tickets in CRM systems. Maintain accuracy of shared email inboxes and digital document filing.
- Operational Efficiency & Analysis: Help resolve operational delays and logistical constraints. Contribute to Key Performance Indicator (KPI) tracking, performance analysis, continuous improvement initiatives, and general administrative support while maintaining compliance with safety standards and transportation regulations.
QUALIFICATIONS
- Education: Currently pursuing post-secondary studies in Logistics, Transportation, Operations Management, or a related field (or recent graduate). High school diploma or equivalent required.
- Experience: Previous administrative or customer service experience, particularly within a transportation or logistics environment, is an asset.
- Technical Skills: Technical proficiency navigating CRM software. Familiarity with a Transportation Management System (TMS) is an asset. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic digital spreadsheet logging skills. Strong analytical skills.
- Industry Knowledge: Strong interest in the transportation and supply chain industry.
- Soft Skills: Superior verbal and written communication skills with a polished phone manner. Excellent organizational, multi-tasking, time-management, and problem-solving skills in a fast-paced environment. High emotional intelligence, patience, and conflict-resolution capabilities.
