Parts Manager

The TransX Group of Companies has an exciting opportunity for a Parts Manager to join our Maintenance & Procurement department.
The Parts Manager is responsible to plan and coordinate movements (purchasing – holding – releasing) of parts with the shops. Reporting to the Rolling Assets & Repair Director, the Parts Manager is responsible for all aspects of managing the parts movements and overseeing the parts inventory control process in shops. The position should be a proactive, effective communicator who can work in a fast paced transportation environment with shifting priorities and is forward thinking to anticipate future needs or challenges. This position will require strong organizational skills along with coordinating/planning capabilities to ensure maximum effectiveness.
Important liaison for managing parts to ensure a balance between operating requirements, customer expectations and parts suppliers. The position explore opportunities of supply chain cost savings in collaboration with Operations Manager and Supply Chain Manager through optimal parts management in shops maintaining equipment safety and standard repairing compliance.

KEY RESPONSIBILITIES
Kitting Process Management:
- Provide direction and oversight to coordinate daily parts kitting process with support of Kitters
- Receive assignment from Service Writer including repair order, inspection forms and any special instructions
- Perform any inspections first, accurately and completely before completing the kitting inspection forms
- Apply all parts within the Kit, where parts were not required indicate on the BOM/Kit form received from Kitters and mention why it was not applied
- Confirm on forms that part was returned to inventory if it is in good working order
- Identify any issues with tools and tags the tool with why it has failed and provides the tagged tool to the individual identified on the form so that arrangements can be made to repair or replace the damaged tools in question
- Check required tools location while kitting ensuring they are available in operating condition to perform the tasks required
- Ensures delivery of Kits to assigned shop bay in advance of vehicles arrival, clearly marked as to the RO No. and Vehicle Unit No.
Ensure Kitters clear shop bay of discarded packaging, waste materials, scrap metals and returns warranty parts and part cores to their designated area
Parts System & Inventory Management:
- Place orders for parts, consumables, maintenance tools and safety equipment and coordinate parts pickups and deliveries as required
- Ensure Packing Slips are distributed to department personnel and/or Payables in timely manner
- Ensure inventory is sufficiently stocked to support ongoing business requirements
- Ensure inventory materials are placed in secured areas of the shop floors or racks as required
- Maintain inventory control by issuing parts to mechanics only when presented with an approved parts request forms
- Maintain an organized and clean in-shop warehouse to ensure a safe and efficient work environment and work with Technicians to ensure parts are available on job sites when needed
- Conduct full inventory count periodically to ensure accuracy of automated inventory levels
- Work with parts master, cycle counts, inventory levels, inventory reporting, inventory counts, dormant inventory, and consumables (tire & supplies) inventory level based on MOQ
- Support Operations Manager to set inventory par at shop level, also to add new parts to stock
- Identify opportunities to improve parts inventory, ordering and in-shop warehousing
- Give utmost importance to safety and quality while managing parts inventory and lifeline
- Prioritize bringing down equipment downtime, controlling OS equipment and utilizing assets - by balancing parts availability
Parts Performance & Vendor Management
- Assist Operations Manager to manage performance of parts function ensuring conformance to the company policies and procedures related with parts management and purchasing
- Abide by all compliance procedures necessary to accurately identify, document and track parts warranty exchange programs
- Gather data to input into metrics required to measure parts performance and planning
- Ensure data entered into databases, reports and metrics, both manually and electronically, are complete and accurate, and done in a timely manner
- Ensure that the parts supplied by the vendors are of the expected quality, conforming to requirements and are provided within the stipulated timeline
- Ensure that each vendor is adhering to the terms of service of signed contract/and or agreement
- Escalate to Operations Manager in case of any parts vendor issues or non-compliance
Continuous Improvement & Operational Support:
- Work in conjunction with the Operations Manager to ensure secure storage and authorized distribution of company safety gears and maintain sufficient inventory to meet ongoing company needs and goals to ensure 100% work safety
- Work with Technicians closely to better manage parts inventory levels at shop, think and suggest process innovations and drive change for betterment
- Respond to emergencies and non-scheduled events related to parts in a professional manner
- Place and coordinate parts order and fulfillment for emergency repairing of critical equipment
Assist team in special projects for parts management, tire program and any other CI initiatives
QUALIFICATIONS
- Education: Undergraduate degree in Business, Supply Chain Management, Logistics, Purchasing, or a related field. Post-graduate degree or professional supply chain certification is considered an asset.
- Experience: 5+ years of parts management, inventory control, or supply chain experience in a supervisory role. Experience in fleet maintenance, commercial motor vehicles, heavy equipment, or specialized trailers is strongly preferred.
- Technical & Industry Knowledge:
- Strong mechanical knowledge of heavy equipment, trucks, reefers, and trailer body/chassis, along with diagnostic and troubleshooting capabilities.
- Sound understanding of fleet maintenance processes, parts kitting, inventory management, and performance tracking metrics.
- Knowledge of transportation safety standards, industry dynamics, and vendor network management.
- Core Competencies & Capabilities:
- Excellent written and verbal communication skills with strong stakeholder management and networking capabilities.
- Analytical problem-solving ability to address contemporary supply chain and inventory challenges under tight timelines.
- Ability to work independently with minimal supervision, manage shifting priorities, and collaborate effectively across technical teams.
- Proficient in MS Office suite and proprietary component/engine software programs.
