The opportunity:
This is an exciting opportunity for a highly organized and collaborative professional who enjoys working in a dynamic academic healthcare environment. The successful candidate will play an integral role in supporting education, departmental operations, and strategic initiatives that contribute to excellence in healthcare, teaching, and service.
Reporting to both the Academic Administration Lead and the Senior Administrator for the Department Head/Provincial Medical Specialty Lead, the incumbent provides comprehensive administrative support for the department's academic, operational, and strategic activities. Responsibilities include coordinating doctoral student practicum placements, continuing education programs and events, and supporting general departmental operations while ensuring compliance with Department and University policies, procedures, and standards. The position also facilitates effective collaboration between university and healthcare system partners, supports departmental and specialty program priorities, and contributes to the efficient administration of initiatives that advance the department's educational, operational, and strategic objectives.
The qualifications and experience we’re looking for:
- Completion of a formal training program in a related discipline from a recognized institute plus four years of directly related experience.
- Bachelor’s degree in a related field is preferred
- Experience working in an academic clinical department is preferred
- Experience with UofM policies and procedures preferred.
- Knowledge of the health system and previous experience in health system preferred
- Experience with Concur is preferred.
- An acceptable equivalent combination of education and experience may be considered.
- Experience with event planning or project management is required.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is required.
- Ability to learn in-house University software systems (i.e. Concur) are required.
- Strong verbal and written communication skills, including the ability to communicate effectively in English, draft clear correspondence, and produce accurate written documentation are required.
- Strong interpersonal skills and ability to communicate with professional staff in a courteous and respectful manner is required.
- Must be able to work effectively with support staff at all levels within the Max Rady College of Medicine, with professional medical staff, and students at undergraduate and postgraduate levels is required.
- Must be able to interact with people from diverse backgrounds in a courteous and respectful manner is required.
- Must be able to exercise tact and discretion and navigate situations of conflict is required.
- Ability to exercise sound judgment is required.
- Strong analytical and problem-solving skills are required, with ability to identify key information and issues, and effectively resolve them is required.
- Strong decision-making, and critical thinking skills are required.
- Must be thorough, accurate, able to work under pressure, and have a high level of attention to detail is required.
- Ability to organize, manage multiple priorities, meet competing deadlines, and follow instructions is required.
- Ability to work independently with a strong initiative to complete and follow up on tasks is required.
- Must be able to work effectively independently and as part of a team environment is required.
- Ability to manage highly confidential information is required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
- Must be conscientious, professional, responsible, and reliable.
