Urban Legal Recruitment is pleased to be assisting our valued client, a highly regarded national law firm, with the recruitment of a Receptionist to join its Calgary office.
The Receptionist is responsible for welcoming clients and visitors, anticipating their needs, and directing them to the appropriate person or boardroom. As the “face” of the firm, this individual will also answer incoming calls and provide memorable customer service experiences to both internal and external clients.
Work Schedule
Monday to Friday, 8:30 a.m. to 4:30 p.m., with flexibility to work additional hours as necessary.
Principal Duties and Responsibilities.
- Act as the first point of contact for all visitors to the Calgary office, including greeting and welcoming guests, determining the nature of their visit, and responding to requests
- Provide exceptional customer service to callers through the firm’s switchboard
- Monitor the office voicemail inbox and take or relay messages as required
- Work closely with Office Services and Technical Support to ensure meetings are set up effectively and efficiently
- Accept and process Attorney for Service documents as received
- Update InterAction, internal floor plans, and telephone directories on the firm’s intranet
- Assist with conference and meeting room bookings
- Maintain the visitor log and issue visitor passes as required
- Receive and relay facilities-related concerns, including washroom issues, spills, or other incidents requiring attention
- Provide support to other members of the team when appropriate and necessary
- Complete other duties, administrative support, or special projects as assigned
- Provide assistance to other departments as required, with training provided
- Remain flexible and willing to support a variety of departments and business needs
Qualifications
- Previous switchboard, reception, or office administration experience is considered an asset
- Previous experience within a law firm environment is considered an asset
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams
- Familiarity with telephone and internal communication systems
- Exceptional customer service skills and a high level of professionalism
- Strong written and verbal communication skills
- Excellent interpersonal skills and the ability to interact confidently with clients, visitors, and colleagues
- Ability to work independently in a fast-paced, team-oriented environment
- Professional, accountable, responsive, and proactive approach
- Demonstrated initiative and commitment to supporting the broader team
- Ability to occasionally lift approximately 10 to 15 pounds, including paper or bankers’ boxes
