VanGATE Manufacturing and Automation Inc. is looking for an organized, creative and dependable Executive Assistant & Design/Marketing Coordinator to join our team.
This is a multi disciplinary position combining executive support, interior design assistance, project coordination and social-media marketing. The successful candidate will work closely with management and support our residential, commercial and industrial projects.
Key Responsibilities
Executive and Administrative Support
Provide day-to-day administrative support to management
Manage schedules, appointments, emails and follow-up tasks
Prepare quotations, documents, reports and project records
Communicate with customers, suppliers, contractors and internal team members
Assist with purchasing, order tracking and general office coordination
Maintain organized digital and physical records
Follow up on project schedules, customer requests and outstanding items
Interior Design and Project Support
Assist with design concepts, layouts and material selections
Create and revise drawings using AutoCAD
Coordinate measurements, finishes, colours and materials
Communicate with clients, suppliers and installation teams
Assist with site measurements and project follow-ups when required
Support the preparation of design and construction documents
Social Media and Marketing
Create professional posts featuring company products and completed projects
Take and organize project photos and short videos
Create simple graphics, promotional materials and video content
Write clear and engaging captions in English; Chinese content is an asset
Maintain a regular social-media content schedule
Respond to basic online inquiries and direct potential customers to the appropriate team member
Update website content when required
Support the company’s branding, online presence and promotional activities
Qualifications
Diploma or degree in Interior Design, Architecture, Marketing, Business Administration or a related field
Proficiency in AutoCAD is required
Previous experience managing business social-media accounts
Experience creating graphics and short-form video content
Knowledge of Adobe Photoshop, Illustrator or video-editing software is an asset
Experience with SketchUp, Revit or SolidWorks is an asset
Strong organizational and time-management skills
Professional communication and customer-service skills
Detail-oriented, dependable and able to manage multiple priorities
Proficient in Microsoft Word, Excel and Outlook
Fluency in English is required; Mandarin is a strong asset
Previous executive-assistant, administrative or project-coordination experience is an asset
A valid driver’s licence is preferred
