Role Description The Medical Office Assistant is a full-time, on-site role based at Verismo Health’s clinic in London, ON. This role supports day-to-day clinic operations by welcoming patients, managing check-ins and check-outs, and ensuring a smooth flow in the waiting and exam areas. Responsibilities include answering phone calls with professional phone etiquette, booking and updating appointments, maintaining patient records, and handling administrative tasks such as filing, data entry, and document preparation. The Medical Office Assistant also uses medical terminology to assist with clinical documentation, verifies insurance and eligibility, processes referrals, and coordinates communication between patients, providers, and external partners. The role requires consistent collaboration with clinical staff to support efficient, patient-focused care and uphold high standards of service and confidentiality.
Qualifications
- Strong communication and customer service skills, including professional phone etiquette and the ability to interact with patients in a courteous, inclusive, and respectful manner.
- Proficiency in appointment scheduling and administrative assistance, including managing calendars, maintaining records, and using clinic management or EMR systems.
- Working knowledge of medical terminology and clinic workflows to support accurate documentation and effective coordination with clinical staff.
- Experience with insurance verification, patient registration, and basic billing or eligibility processes.
- Attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced clinical environment.
- Commitment to patient confidentiality and familiarity with healthcare privacy standards and regulations.
- Ability to work on-site in Casselman, ON, as part of an interdisciplinary healthcare team.
- Previous experience in a medical office, clinic, or healthcare setting is an asset; completion of a medical office administration or related program is preferred.
- Basic computer literacy, including use of email, scheduling software, and electronic records systems.
Qualifications & Skills:
- 6 month to an year of experience working in EMR systems
- Experience in family practice, primary care, community clinic, or ambulatory care preferred
- Strong patient communication and compassionate bedside manner
- Professional, organized, reliable, and detail-oriented
- CPR Level C/BLS certification (or willingness to update)
- Medical Office Administration/Assistant training or relevant healthcare experience preferred
