Whirl is seeking a full-time Producer, Events, Communications & Experiences;
You are an experienced producer who knows what it takes to move a project from initial idea through planning, production, and execution - while keeping clients, collaborators, budgets, timelines, and all the details moving along the way.
Our ideal candidate has 4+ years of hands-on event production experience within an experiential marketing, events, or creative agency environment. You’re a confident project owner, a strong communicator, and a proactive problem-solver who is comfortable taking initiative and figuring out what needs to happen next.
About Us
Hi, nice to meet you! We are Whirl, a strategic communications and corporate events agency based in Toronto. We combine strategy and creativity to deliver memorable moments for our diverse roster of long-term clients. From live events to virtual experiences and everything in between, our team members act as an extension of our clients’ teams - from initial ideation and strategy through production and execution.
Producer Roles & Responsibilities
- Client-focused: Understand our clients' events, communications and business objectives. Build strong relationships, provide thoughtful recommendations, and act as an extension of their team.
- Events, communications and experiences management: Lead the planning, coordination, and execution from start to finish. This can include audiovisual, video production, print and graphics, talent, event technology, exhibits, venues, and more.
- Project management: Own project timelines, budgets, deliverables, run-of-shows, playbook, briefs, and other production documentation, keeping both the big picture and the details in check.
- Supplier and partner management: Brief, coordinate, and manage all suppliers. You should understand production well enough to identify requirements, ask the right questions, and confidently manage our Whirlpool of freelancers.
- Collaboration and communication: Work closely with clients, internal teams, creative partners, and vendors to keep projects moving and everyone aligned.
- Organization and problem-solving: Anticipate needs, identify gaps and risks, manage multiple priorities, and tackle challenges with resourcefulness, good judgment, and creative problem-solving.
- On-site execution events and experiences: Play an active role during rehearsals and live events, helping ensure all the planning translates into a seamless experience for our clients and their audiences.
Skills & Experience
- Required: 4+ years of hands-on production experience in a producer, event manager, experiential producer, program/account management, or similar role. Experience within an experiential marketing, events, or creative agency environment is strongly preferred.
- Independent project ownership: You’re comfortable taking ownership of a project or significant workstream without needing step-by-step direction. You know what good production requires and can proactively determine what needs to happen next.
- Strong client and communication skills: You’re comfortable leading client conversations, presenting recommendations, asking thoughtful questions, and communicating clearly with everyone from clients and executives to creative teams and technical partners.
- Excellent organization and attention to detail: You can confidently manage budgets, timelines, documentation, suppliers, approvals, and multiple concurrent priorities - even when timelines are tight, or plans change.
- Technical proficiency: You’re comfortable with Microsoft Office 365 and collaboration/project management platforms. We currently use Microsoft Teams and Monday.com.
- Bonus: A genuine passion for communications, events, experiences, and bringing people together. Events can be fast-paced, detailed, unpredictable, and occasionally a little wild - we’re looking for someone who genuinely enjoys the work!
