Job Summary (external)
The Director, Administrative Services is responsible for providing strategic leadership, direction and expertise in support of the WCB's administrative services functions. This includes responsibility for the WCB's Corporate Records, Corporate Security and Facilities functions, and accountability for security of people and assets, information governance, and stewardship of corporate facilities.
Job Duties
Leads the Corporate Records, Corporate Security and Facilities functions, ensuring programs and services support organizational objectives and operational requirements.
Provides management, leadership, guidance, support and direction to staff in the functional areas. This includes responsibility for hiring, conducting performance reviews, labour relations, performance development, coaching and deciding on disciplinary action up to and including dismissal where necessary.
Provides strategic advice and recommendations to executive leadership regarding records and information management, physical security, emergency preparedness and facilities management.
Participates in organizational emergency preparedness and emergency response activities, and ensures appropriate plans and resources are in place.
Leads the planning and management of departmental operating and capital budgets, and ensures effective oversight of financial, human, information and physical resources.
Establishes departmental priorities, objectives and performance measures, and monitors results to support continuous improvement and effective service delivery.
Directs long-term planning of corporate facilities, including facility development, infrastructure renewal and capital improvements.
Oversees corporate security programs and services to support the protection of employees, facilities and organizational assets.
Leads and supports the organization's records and information management program, and ensures compliance with legislative and organizational requirements.
Manages procurement, contracts and vendor relationships.
Builds and maintains effective relationships with internal and external stakeholders.
Performs other related duties as assigned.
Qualifications
University degree in Business Administration, Public Administration, Management or a related discipline
Minimum ten (10) years of progressive management experience in administrative services, or related fields
Knowledge of legislation, regulations, standards and best practices related to administrative services, including records and information management, security, facilities management, emergency preparedness and occupational health and safety
Experience developing strategic and operational plans, establishing priorities and aligning resources to achieve organizational objectives
Experience developing and managing operating and capital budgets, contracts, procurement activities, vendor relationships and major projects
Superior leadership, communication, negotiation and relationship management skills
Excellent analytical, problem-solving and decision-making skills
Ability to influence, persuade and achieve consensus with diverse stakeholders
Ability to manage challenging and sometime confrontational situations with tact and diplomacy
Ability to manage highly confidential and sensitive information with discretion and sound judgment
Ability to organize and prioritize workload while managing multiple demands and competing priorities
Available to address facility and security related issues outside regular working hours, as required
Proficiency in the use of personal computers, Windows-based software, and other technology platforms relevant to the position
The ability to communicate proficiently in both official languages (English and French) is an asset but is not required
