Job Purpose
The Relational Events Coordinator plays an important role in helping World Vision Canada deliver engaging, high-quality relational acquisition events for partners and supporters. Working alongside the Event Acquisition Team, this role provides hands-on coordination and operational support across the full event lifecycle, helping the team scale event delivery and create consistent, well-executed experiences.
From pre-event planning through on-site execution and post-event follow-up, this role will keep event logistics, materials, communications, and deliverables organized and on track. Responsibilities include coordinating logistics and documentation, maintaining shared systems and event assets, supporting scheduling and communications, preparing event materials and templates, coordinating vendors and shipments, and tracking key deliverables across multiple workstreams.
Strong attention to detail, organization, and the ability to coordinate across teams will help reduce operational friction and enable Project Managers and Relational Managers to focus on stakeholder engagement, strategy, and overall event leadership. Through this work, the role contributes to the successful delivery of events that build relationships and advance World Vision Canada’s relational acquisition goals.
This role reports to the People Manager, Church and Corporate Engagement, with day-to-day operational direction provided by the Product Owner, Church Engagement.
Responsibilities
- Coordinates key event activities across planning, execution, and post-event phases to support successful delivery of relational acquisition events
- Supports event logistics and operations, including scheduling, timelines, shipping, travel coordination, and vendor coordination to ensure readiness and reduce execution risk
- Prepares and organizes event materials, templates, and engagement assets to ensure consistency and alignment across all event touchpoints
- Facilitates communication and coordination with internal stakeholders, channel partners, and external vendors to support clear expectations and timely delivery of commitments
- Supports event-related financial and administrative processes, including purchase requests, invoice tracking, and documentation in alignment with internal policies and procedures
- Maintains accurate and organized event information across shared systems and platforms, ensuring documentation, templates, and assets are current and accessible
- Supports pre-event readiness and post-event follow-up activities, including tracking deliverables, capturing documentation, and assisting with reporting inputs and debrief processes
Qualifications
- Post-secondary education in Business, Marketing, Communications, Events Management, or a related field, or equivalent combination of education and experience
- 1–3 years of experience in event coordination, project coordination, fundraising, marketing, or administrative support in a fast-paced environment
- Strong organizational skills with the ability to manage multiple priorities and deadlines with accuracy and attention to detail
- Experience working with cross-functional teams and supporting stakeholder coordination
- Proficiency in Microsoft Office 365 and familiarity with collaboration and workflow tools such as SharePoint, Teams, Zoom or similar platforms
- Strong communication and interpersonal skills with a customer-service mindset and the ability to engage professionally with a range of stakeholders
- Experience in events, fundraising, nonprofit, or relational engagement environments considered an asset
- Flexibility to work occasional evenings/weekends and willingness to travel domestically as required
Working Conditions:
- This position requires the ability to travel for business and to work occasional weekends and evenings, as required by event schedules.
