Zebrano manages luxury homes for high-net-worth families and individuals across Toronto.
Our clients live in large, complex and often quirky homes. Their time is extremely valuable, so they hire us to take care of the projects they don't have time for - from preventative maintenance and repairs to home improvements and larger projects.
Think of us as a specialized team of residential project managers with an exceptional level of client service.
We build detailed annual schedules for every home and work with a trusted roster of plumbers, contractors, roofers, landscapers, HVAC technicians, movers and other specialists to make sure work is completed properly and on time.
We're a members-only business, which means we work with an exclusive roster of clients rather than taking on small, one-off jobs. Clients pay us hourly to quote work, coordinate trades, oversee projects on-site and make sure everything gets done to Zebrano's standards.
Zebrano was founded in 2000. The current owners purchased the business in 2017 and have since doubled the client roster. We are a growing, female-owned and led company brought together by a shared passion for exceptional service, organization and getting things done.
About the Role:
We're looking for a Residential Project Manager / Household Concierge to join our team and manage a roster of luxury residential clients. You will report to our VP an President and work closely with our team of concierges.
This is a highly varied, hands-on role. You'll spend your days moving between client communication, project coordination and on-site management. One day you may be meeting a roofer at a client's home; the next, coordinating an HVAC repair, preparing a quote, walking a property to identify maintenance issues or helping a client plan an upcoming home improvement.
Working with clients
- Communicate with your clients through email, text and phone calls on a regular basis
- Create annual household schedules for preventative maintenance
- In-take new requests from clients for home improvements, repairs and emergencies
- Do monthly home walk throughs and proactively propose new tasks to clients when you notice repairs are needed
- Send quotes, seek approvals and schedule jobs in a timely manner
Managing Trades
- Work with Zebrano’s roster of trades to quote and schedule new jobs
- Send a job-brief to trades before the scheduled appointment to ensure the job requirements and Zebrano’s expectations are well understood
- Manage trades on-site during jobs. Hold the trade accountable to Zebrano quality standards and timelines.
- Troubleshoot with trades and fellow concierges when a job doesn’t go to plan
Behind the scenes work
- Record your billable hours on a daily basis
- Work closely with the accounting department to produce estimates, invoices and collect payments from clients
- Manage a complex calendar of trade appointments at your clients’ homes
- Record detailed notes with photos for all jobs completed
Your backgound:
We're particularly interested in candidates with experience in:
- Residential construction or home building
- Custom home building or general contracting
- Interior design or architecture
- Residential property or project management
- High-end home services
- Luxury hotels, private clubs or luxury concierge services
You don't need to be a tradesperson or know everything about homes. However, you should be genuinely curious about how homes work, comfortable working with trades and contractors, and excited to learn.
If you've worked for a custom home builder and understand how residential projects come together, that's a huge plus. If you've worked in a five-star hotel and are exceptionally good at managing clients, anticipating needs and solving problems, we'd also love to hear from you.

What you can expect from the interview process:
Part 1:
You will be asked to have a 5-10 minute intro call with the President. This is a quick call to discuss your work experience and ask any questions about the role requirements.
Part 2:
You will visit our offices and be interviewed by our President and VP. They will ask you a mix of behavioural and situational questions.
Part 2:
You will spend a day shadowing one of our concierges.
