Role Description The Executive Assistant is a full-time, on-site or hybrid role based in Montreal, QC, providing high-level administrative support to senior leadership. This position involves managing calendars, coordinating meetings, preparing agendas and minutes, and organizing travel and accommodations. The Executive Assistant will handle expense reports, track approvals, and support the preparation of presentations, reports, and correspondence. Day-to-day responsibilities include managing incoming communications, maintaining files and records, coordinating office logistics related to executive activities, and liaising with internal and external stakeholders. The role also includes handling sensitive information with discretion and helping streamline executive workflows and priorities.
Qualifications
- Candidates should possess strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and senior stakeholder support.
- Candidates should possess solid Administrative Assistance skills, such as document preparation, record keeping, and office organization.
- Candidates should possess experience with Expense Reports, including tracking, reconciliation, and adherence to company policies.
- Candidates should possess excellent Communication skills, both written and verbal, to interact effectively with internal teams and external partners.
- Relevant qualifications include proficiency with office productivity software and collaboration tools, strong organizational and time-management abilities, and attention to detail.
- Previous experience supporting executives in pharmaceutical, life sciences, or related industries is an asset, as is fluency in English; French language skills are considered an advantage.
- Post-secondary education in business administration, office management, or a related field, or equivalent work experience, is preferred.
