MAIN DUTIES
The Sales Coordinator at 1 Hotel Toronto provides administrative and operational support to the Sales team to support the coordination of client inquiries, group business, meetings, and events. This role serves as a key point of contact for clients and assists with preparing proposals, reports, client materials, and presentations, as well as coordinating schedules, appointments, site tours, and other sales-related activities. The Sales Coordinator works collaboratively with internal departments, clients, and suppliers to ensure a seamless and professional client experience while supporting the Sales team in achieving departmental goals.
This position will be part of the Hotel’s Sales & Marketing team, and requires on-site presence 5 days a week, in an office located in our Hotel.
GENERAL DUTIES
- Answer incoming telephone calls and assist with guest inquiries, providing accurate and helpful information regarding hotel facilities and services, including hours of operation, room types and rates, packages, promotions, entertainment, dining options, and other property offerings.
- Serve as a primary point of contact for clients, responding to inquiries and requests professionally and promptly via phone and email.
- Generate reports, prepare proposals and collection details, and coordinate with clients and suppliers to support sales initiatives.
- Gather, organize, and prepare materials and information packages, including brochures, promotional materials, sales kits, welcome kits, amenities, and other client-facing materials.
- Provide administrative support to the Sales team, including managing schedules, maintaining organized files and records, and communicating relevant information in a timely manner.
- Coordinate and arrange meetings, events, appointments, and other sales-related activities.
- Prepare, record, transcribe, and distribute meeting minutes and follow-up items as required.
- Conduct hotel site tours for prospective clients, showcasing the property’s facilities, amenities, and offerings.
- Monitor, screen, respond to, and appropriately distribute incoming communications and correspondence.
- Handle all guest, team member, and hotel information with discretion and maintain strict confidentiality at all times.
- Perform other duties and responsibilities as assigned.

QUALIFICATIONS

- A post-secondary diploma or degree and 1+ years of experience in a comparable position and/or an equivalent combination of education and experience.
- Excellent verbal and written communication skills.
- Strong administrative, organization, and technical skills. Proficient in Microsoft Office (Outlook, PowerPoint, Word etc.)
- Must be detail oriented and accurate.
- Ability to manage multiple priorities, goal oriented and must meet deadlines.
- Strong interpersonal skills and guest service oriented with a sincere, friendly and helpful personality.
- Flexibility to meet the demands of a 24-hour operation and work a varying schedule to reflect business needs of the hotel.
- Fluency in a second language other than English is an asset.
- Must be legally eligible to work in Canada
