Position title: 1765 - Project Coordinator I
Working Status: Hybrid with one day on-site (Thursdays)
Location: 1 York Street, Toronto, Ontario, Canada, M5J 0B6
Typical working hours: 8am-4pm to support global calls with Hong Kong and Asia partners. An occasional 8:30pm call may occur but evening availability is not required.
Note:
The role is open to recent graduates and candidates without formal certifications, provided they have basic office and project-management skills plus strong organization, independent problem-solving, communication, collaboration, and scheduling abilities.
· Core Technical Skills: Candidates should be comfortable with Excel, Outlook, and PowerPoint without requiring substantial training. They should understand basic project-management concepts such as timelines, dependencies, and deliverables.
· Problem Solving: Assessment will be done based on whether candidates can investigate problems before escalating them. A strong candidate should explain what they tried, whether they followed the instructions, what information they reviewed, and whom they consulted before asking for help.
· Organization And Follow-Through: The coordinator must capture action items from fast-paced meetings, maintain calendars, schedule meetings with multiple participants and executive assistants, and translate informal executive requests into concrete follow-up actions
· Collaboration And Communication: Candidates should work independently while keeping stakeholders informed, copying relevant participants, and collaborating across the broader team. They will be assessed for professional written communication, including complete and properly structured email sentences rather than informal shorthand.
· Experience Expectations: Recent graduates and candidates without formal project-coordination experience are acceptable. University group projects and other structured deliverables can demonstrate teamwork, accountability, leadership, and collaboration skills.
Job Description
As Project Coordinator, a successful candidate will play a critical role in supporting the successful delivery of a large-scale, enterprise-wide global brand initiative. Reporting to the Senior Project Manager, Global Marketing, a successful candidate will provide day-to-day project coordination support across multiple workstreams and stakeholder groups. A successful candidate will help organize project activities, maintain timelines and project documentation, coordinate meetings, track progress against key milestones, and ensure action items are completed on schedule.
The successful candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Working closely with the Program Manager, Directors, and cross-functional teams, the Project Coordinator will facilitate communication, monitor dependencies, maintain project trackers and status reports, and escalate risks or issues when needed to help keep the program on track.
What will a successful candidate do?
- Support the program management team in the successful delivery of a large-scale, enterprise-wide global brand initiative by coordinating activities across multiple workstreams and stakeholder groups.
- Assist in building and maintaining project timelines, workback schedules to ensure projects remain on track and dependencies are clearly understood.
- Monitor project progress, risks, blockers, and action items, proactively following up with owners and escalating issues when needed.
- Coordinate the setup of project meetings, capture key decisions, risks, and action items and distribute concise meeting recaps.
- Assist in preparation and maintenance of project documentation, governance materials, status reports, and reporting dashboards, ensuring information is accurate, current, and easily accessible.
- Support project governance and operational excellence by maintaining best practices, improving processes, and ensuring high-quality data across project plans and reporting.
What will a successful candidate need to succeed?
- University or college degree in Business, Marketing, Digital, Communications or a related field.
- 2-3 years of experience in project coordination, project management, marketing operations, or administrative support role.
- Strong understanding of project management fundamentals, including experience developing and maintaining project timelines, workback plans.
- Comfortable navigating ambiguity and evolving project requirements.
- Demonstrated ability to manage multiple priorities under tight deadlines.
- Strong organizational skills with exceptional attention to detail.
- Ability to work independently with minimal supervision, and as part of a team.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office tools, including PowerPoint, Word, Excel, and Outlook.
Preferred Qualifications:
- Experience using project management tools such as Wrike, Smartsheet, or similar platforms.
- CAPM certification or progress toward a PMP certification.
- Experience supporting large-scale marketing, branding, transformation, or organizational change initiatives.
