Your Opportunity

Our Winnipeg office is looking for a Receptionist to join the Administration team. This role is essential in supporting a large, fast-paced office of over 150 employees. The position serves as a key point of contact for staff, clients, vendors, and visitors while providing administrative, facilities, and operational support across the Manitoba practice. The Receptionist will own the following responsibilities:

Key Responsibilities:

Serve as the primary reception contact for the Winnipeg office, welcoming clients, visitors, vendors, and guests in a professional and courteous manner.
Answer and manage incoming calls to the Winnipeg office mainline and actively participate in the Manitoba Call Queue Team.
Monitor and manage the Manitoba e-fax system, ensuring timely distribution and follow-up of incoming documents.
Coordinate and support onboarding activities as the Director of First Impressions, including new hire orientation and first-day office support.
Manage facilities operations for the Winnipeg office, including building-related requests, vendor coordination, office maintenance, and workspace management.
Execute Facilities and Administrative Playbook responsibilities, including:
- Daily catering coordination (ordering, setup, monitoring, and cleanup)
- Meeting and event support
- Office supply and inventory management
Manage daily visitor and staff parking requests, as well as monthly parking pass administration.
Assist with daily kitchen maintenance and upkeep to ensure shared spaces remain clean and organized.
Manage security access cards and coordinate access-related requests in partnership with building security.
Book, maintain, and monitor boardroom calendars to ensure efficient utilization of meeting spaces.
Process and reconcile payments through various systems, including Stripe and Workday.
Participate as a member of the Workplace Safety & Health Committee and support committee initiatives.
Contribute to office engagement and employee experience initiatives through participation in the Culture Club by helping to coordinate events.
Collaborate with Manitoba administrative teams to provide operational support and ensure effective delivery of office services.

Your experience and education

You have the ability to clearly and confidently communicate with others

You have at least 2+ years’ experience in a fast paced, customer driven environment, and have had experience in completing tasks simultaneously
Office Administration diploma or similar education would be considered an asset
You have a cheerful outlook and a high energy personality
