Canadian Energy Services, the drilling fluids division of CES Energy Solutions, is looking for a motivated, enthusiastic, and organized individual to fill the position of Administrative Assistant - Procurement. This full-time, permanent position is located in Calgary, Alberta, and will assist in the administrative duties associated with the Procurement Team. The ideal candidate will also have a willingness to work in a fast-paced Oil and Gas logistics environment.
Responsibilities include:
- Provide day-to-day administrative support to the Procurement and Logistics teams.
- Assist with the preparation, distribution, and filing of purchase orders and procurement documentation.
- Maintain organized electronic and physical procurement records.
- Ensure purchasing files are complete and documentation is properly stored and easily retrievable.
- Track procurement documents and follow up on missing information as required.
- Review supplier invoices for completeness, accuracy, and alignment with purchase orders, receiving documentation, and supplier agreements.
- Verify quantities, pricing, product descriptions, and supporting documentation before processing.
- Identify discrepancies and communicate with suppliers and internal stakeholders to obtain corrections or additional information.
- Ensure all procurement-related documents are properly matched and approved according to company procedures.
- Maintain invoice logs and assist with invoice tracking and status updates.
- Ensure bills of lading, packing slips, delivery receipts, and related logistics records are complete and accurately filed.
- Enter, update, and maintain procurement and supplier information in company databases and ERP systems.
- Generate routine reports, spreadsheets, and procurement records as required.
- Perform data verification to ensure information accuracy and consistency.
- Maintain confidentiality of sensitive supplier, pricing, and commercial information.
- Other duties as required.
Skills and Experience:
- 1-2 years of administrative, procurement support, accounting support, or logistics coordination experience preferred.
- Experience working with invoices, purchase orders, or documentation management is considered an asset.
- Experience in oil and gas, chemicals, manufacturing, distribution, or industrial environments is an preferred.
- Exceptional attention to detail and commitment to accuracy.
- Strong organizational and document management skills.
- Ability to prioritize tasks and manage multiple deadlines.
- Strong data entry and record-keeping capabilities.
- Excellent written and verbal communication skills.
- Ability to identify and resolve discrepancies in documentation.
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Experience using ERP or procurement systems is an asset.
- Ability to work independently while supporting a collaborative team environment.
