We are seeking a highly organized, proactive Project Coordinator to support the delivery of a high-profile, enterprise-wide global initiative. In this role, you will work closely with project leadership and cross-functional teams to keep workstreams aligned, maintain project documentation, and ensure deliverables remain on schedule.
This is a 12-month contract position (with potential for extension) based in Toronto, operating on a hybrid model (1 day on-site per week on Thursdays). Working hours are 8:00 AM – 4:00 PM to support collaboration with global partners.
Description
As a Project Coordinator, you will play a key role in driving operational efficiency and clarity across multiple project workstreams. Reporting to the Senior Project Manager, you will manage day-to-day coordination, maintain timelines, capture key action items from fast-paced meetings, and monitor project dependencies. You will act as a central point of organization - translating informal executive requests into structured deliverables, investigating potential blockers before escalation, and keeping all stakeholders aligned and informed.
Responsibilities
- Support the program management team by coordinating activities, resources, and communication across multiple workstreams and global stakeholder groups.
- Build, update, and maintain project timelines, workback schedules, status reports, and tracking dashboards.
- Coordinate project meetings, manage complex calendar schedules across multiple time zones, capture key decisions and action items, and distribute clear recaps.
- Track project progress, risks, dependencies, and follow-up items, proactively liaising with item owners to keep initiatives on track.
- Investigate project issues independently, gathering context and testing solutions prior to escalating to senior leadership.
- Maintain organized project documentation and governance materials to ensure data accuracy and high standards of operational execution.
Requirements
Must-Have Qualifications:
- Post-secondary degree or diploma in Business, Marketing, Communications, Digital, or a related field (recent graduates with strong academic or group project experience are encouraged to apply).
- Solid understanding of core project management concepts, including deliverables, dependencies, and workback schedules.
- Proficiency with Microsoft Office tools (Excel, PowerPoint, Outlook, Word) with the ability to manage calendars, format presentations, and maintain spreadsheets independently.
- Exceptional organizational and follow-through skills with high attention to detail in fast-paced environments.
- Strong problem-solving mindset with demonstrated initiative to research and troubleshoot challenges before seeking help.
- Professional written and verbal communication skills, with a track record of clear, structured email correspondence.
- Ability to work hybrid in Toronto (1 day per week on-site on Thursdays) and maintain a schedule of 8:00 AM – 4:00 PM.
Nice-to-Have Qualifications:
- 1–3 years of experience in project coordination, marketing operations, or administrative support.
- Exposure to project management software such as Wrike, Smartsheet, or similar platforms.
- CAPM certification or progress toward PMP certification.
- Experience supporting large-scale marketing, branding, or organizational change projects.
