Description:

Reporting to the Chief of Staff, Director of Executive Services and receiving functional direction from the Executive Coordinator, and in keeping with Covenant Health’s Mission and Values, the Receptionist is an integral member of the Office of the CEO team and the first point of contact for the Covenant Office at One Twelve Campus North Tower. The Receptionist provides professional and welcoming reception and administrative support to staff, visitors and other stakeholders, while supporting the day-to-day operations of the building. Responsibilities include managing building access, keys, lockers, mail and deliveries; coordinating facility and maintenance requests; supporting meeting room bookings and meeting spaces; and serving as a key contact with Building Management, security and external service providers. The Receptionist also supports building events and special occasions, including catering coordination, and provides administrative and operational support under the direction of the Executive Coordinator. This position is non-unionized.

Required Qualifications:

Successful completion of high school diploma or recognized equivalent.

Additional Required Qualifications:

Demonstrated ability to read, write, speak and understand English fluently, with excellent listening, comprehension, verbal and written communication skills, with a strong commitment to providing professional and responsive customer service. The successful candidate will be proficient with Microsoft Office applications, including Teams, Word and Excel, and experience managing SharePoint sites, including creating pages, modifying access and adding or updating content. Strong organizational, time-management and problem-solving skills, with the ability to manage competing priorities is also required. Event planning experience. Must be able to work both independently and collaboratively and ability to meet timelines with frequent interruptions. The successful candidate must have the ability to maintain confidentiality and respond calmly and appropriately to urgent, security, maintenance and emergency situations. This role requires the successful candidate to work Monday through Friday at our downtown office. Please attach a resume and cover letter with application.

Preferred Qualifications:

Post-secondary training in Office Administration would be considered an asset. Experience using advanced features of Excel, such as pivot tables, V-Lookup, True/False, and Conditional Formatting. Experience using advanced features in Word, such as proper formatting for table-of-content generation, variable section formatting to incorporate landscape and portrait pages in one document. Experience editing pdfs and creating pdf forms. A clean Class 5 driver's license would be preferred.
