Your tasks at a glance

You warmly welcome patients and direct them to the waiting room, ensuring that new patients complete the questionnaire to add to their files.
You handle mail, clinic phone lines, and voicemails, and make sure to call patients to confirm their appointments.
You are responsible for updating the medical records and appointments software after each patient's arrival and departure.
You manage inventory and ensure the aesthetics and cleanliness of the clinic when needed.

A clear view of your assets

You have experience as a receptionist, medical secretary, or administrative assistant in a doctor's office or have strong customer service/patient care skills.
You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
You stand out for your organizational and collaborative skills as well as your ability to work with minimal supervision.
You especially thrive in a fast-paced, dynamic environment, and when you work as part of a team.
You are comfortable traveling to other clinics for training or work (expenses covered by Vision Group).
Important: You have excellent communication skills, you speak English et français également (advanced intermediate level of French required due to the nature of the tasks or interactions with our French-speaking patients).
Schedule: You are available to work Monday through Friday, 8:00 am to 7:00 pm (flexibility required for later shifts 9:00 am to 5:00 pm) and Saturday on a rotation basis (1 per month).

Vos tâches en un coup d’œil

Vous accueillez chaleureusement les patients et les dirigez vers la salle d'attente, en s'assurant que les nouveaux patients remplissent le questionnaire à ajouter à leur dossier.
Vous gérez le courrier, les lignes téléphoniques de la clinique, la boite vocale, et vous vous assurez d’appeler les patients pour confirmer leurs rendez-vous.
Vous êtes responsable de mettre le logiciel de dossiers et de rendez-vous à jour après l'arrivée et le départ de chaque patient.
Vous gérez l'inventaire et veillez à l'esthétique et à la propreté de la clinique, au besoin.

Une vue claire de vos atouts

Vous avez de l’expérience comme réceptionniste, secrétaire médical ou assistant administratif et/ou possédez d'excellentes aptitudes en service à la clientèle.
Vous êtes à l'aise avec les outils informatiques, la technologie et Microsoft 365 (la connaissance des systèmes de DME est un atout).
Vous vous démarquez par vos aptitudes pour l’organisation, le travail d'équipe et l’autonomie.
Vous prospérez tout particulièrement dans un environnement dynamique à rythme rapide.
Vous avez d'excellentes aptitudes en communication, vous parlez français et maîtrisez l'anglais de niveau intermédiaire avancé en raison de la nature des tâches ou d'interactions avec nos patients anglophones.
Horaire: Vous êtes disponible pour travailler du lundi au vendredi entre 8h00 et 19h00, alternance jour et soir ainsi que le samedi en rotation (1 samedi sur 4).
