The George Gordon First Nation is seeking a highly motivated individual for the Executive
Assistant. The Executive Assistant provides professional, organized, and confidential
administrative support to the George Gordon First Nation (GGFN), Chief and Council,
committees, programs, and Administration. The Executive Assistant is responsible for
providing office administration, supporting Chief and Council with assigned administrative
duties, assisting with community programs and committees, coordinating meetings and
events, and ensuring the smooth day-to-day operation of the office.
Duties And Responsibilities
- Answer incoming telephone calls and direct, transfer and relay messages as required.
- Greet and assist community members, visitors, service providers, and other individuals
attending the office.
- Respond to general inquiries or direct inquiries to the appropriate program or staff
member.
- Book office space, boardrooms, and meeting areas for meetings, workshops, events, and
other activities.
- Coordinate catering services and refreshments for meetings and events as requested.
- Maintain office calendars and communication boards.
- Assist with scheduling meetings and appointments.
- Maintain organized filing systems, both electronic and physical.
- Prepare, photocopy, scan, fax, distribute, and file documents as required.
- Assist with the preparation and distribution of correspondence, forms, notices, and other
administrative materials.
- Monitor and maintain office equipment and report equipment issues when required.
- Maintain adequate office supplies and assist with inventory control.
- Provide general administrative assistance to Chief and Council, committees, and
programs as requested.
- Ordering office supplies and equipment as required.
- Completing and assisting with Council travel forms and related documentation.
- Booking hotel accommodations and other travel arrangements.
- Booking meeting rooms, event spaces, and other facilities.
- Preparing documents, correspondence, forms, and other materials requested by Council.
- Completing assigned administrative tasks on behalf of Chief and Council.
- Other duties as assigned
Qualifications And Requirements
- High school diploma or equivalent; post-secondary education in office administration,
business administration, communications, or a related field would be an asset.
- Previous administrative, receptionist, executive assistant, or office experience.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Ability to work professionally with community members, staff, leadership, committees,
and external organizations.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to prioritize and manage multiple tasks and deadlines.
- Ability to work independently while also functioning effectively as part of a team.
- Proficiency with Microsoft Office programs, including Word, Excel, Outlook, and Teams,
would be an asset.
- Must possess a valid Drivers license and reliable transportation
