We are seeking an organized, detail-oriented, and proactive Administrative Assistant to provide day-to-day administrative and organizational support within a private organization in Barrie. The successful candidate will assist with scheduling, documentation, coordination, follow-up, and general administrative tasks while supporting a variety of ongoing business and operational needs.
This role is well suited to a dependable professional who is comfortable managing competing priorities, handling confidential information, taking initiative, and adapting to changing needs. The successful candidate will have the opportunity to work closely with senior leadership while continuing to develop their administrative and coordination experience.

Hours: Approximately 24 hours per week
Schedule: Flexible daytime schedule

Responsibilities will include a combination of administrative, coordination, and organizational support. Priorities may change throughout the day, so the successful candidate should be comfortable managing multiple tasks and adapting as needs evolve.
The role may include calendar and appointment management, expense and invoice organization, vendor coordination, document management, meeting preparation, follow-up, and support for ongoing projects.
Key Responsibilities
Calendar & Scheduling
- Manage calendars, appointments, and meetings
- Coordinate scheduling changes and upcoming commitments
- Track important dates, deadlines, and follow-ups
- Assist with meeting coordination and preparation
Administrative & Financial Documentation
- Organize receipts and expense documentation
- Assist with invoice administration
- Maintain accurate records and supporting documentation
- Keep administrative information organized and accessible
Vendor & Service Provider Coordination
- Communicate with vendors, contractors, and external service providers
- Coordinate appointments and scheduling
- Follow up on outstanding items
- Gather information and confirm completion of commitments
Document & Project Support
- Organize and maintain electronic and physical files
- Track important documentation, action items, and deadlines
- Assist with meeting preparation and follow-up
- Support various administrative, operational, and project-related activities
General Administrative Support
- Provide day-to-day administrative assistance as required
- Assist with a variety of personal and business-related administrative tasks
- Take on additional responsibilities as priorities evolve
What We're Looking For
The ideal candidate will have approximately 1–3 years of experience in an administrative or coordination-focused role.

Candidates with less direct Executive Assistant experience may still be considered if they demonstrate strong organization, professionalism, initiative, communication skills, and the ability to learn quickly.
Qualifications & Skills
- High school diploma required; post-secondary education is an asset
- Approximately 1–3 years of relevant administrative or coordination experience
- Strong organizational and time-management skills
- Excellent attention to detail
- Strong written and verbal communication
- Comfortable managing calendars and appointments
- Experience with document and information organization
- Comfortable handling invoices, receipts, and expense documentation
- Strong follow-up and task-tracking abilities
- Professional telephone and email communication
