This role goes beyond traditional administrative support. The successful candidate will serve as a trusted operational partner to the Regional Vice President, helping coordinate key initiatives, support recruiting efforts, leverage technology, improve processes, and contribute to the success of a growing wealth management region. Success in this role comes from taking ownership, building strong relationships, embracing new technology, maintaining exceptional organization, and finding solutions that help others succeed. The individual who thrives in this role is proactive, resourceful, detail-oriented, and motivated to act as both a trusted partner and a force multiplier for leadership.
Executive & Leadership Support
- Act as a trusted partner to the Regional Vice President, providing proactive administrative and operational support.
- Coordinate schedules, meetings, communications, travel arrangements, and administrative priorities.
- Maintain systems for tracking priorities, action items, deadlines, and commitments to ensure timely execution and follow-through.
- Help create the capacity required for leadership to focus on strategic initiatives, advisor development, recruiting, and regional growth.
Regional Operations & Reporting
- Develop, maintain, and analyze reports that support business decision-making and operational effectiveness.
- Monitor key regional activities and assist in tracking progress toward business objectives.
- Organize information, identify trends, and support leadership by transforming data into meaningful business insights.
- Provide timely, accurate information and insights to support leadership planning and execution.
Recruiting & Growth Coordination
- Support recruiting initiatives across the region by coordinating candidate communications, scheduling, events, and follow-up activities.
- Assist in maintaining momentum, visibility, and accountability around recruiting priorities and growth initiatives.
- Coordinate activities involving regional leadership, advisors, candidates, and corporate partners.
Technology & Process Improvement
- Learn and leverage technology platforms that support regional operations and productivity.
- Identify opportunities to streamline workflows, improve processes, and increase efficiency.
- Support the adoption of reporting tools, workflow automation solutions, AI-enabled productivity tools, and emerging technologies.
- Assist with the use and continuous improvement of regional technology, reporting, and business management processes.
Event & Project Coordination
- Coordinate regional meetings, advisor development sessions, recruiting events, and business-building activities while helping deliver professional and memorable participant experiences.
- Manage logistics, registrations, communications, materials, budgets, and follow-up activities.
- Support special projects and regional initiatives from planning through execution.
Relationship Management
- Build strong working relationships with advisors, leadership team members, corporate partners, candidates, and external stakeholders.
- Serve as a professional and reliable point of contact across the region.
- Exercise discretion, professionalism, and sound judgment while handling sensitive and confidential information.
- Contribute to a positive, collaborative, and high-performance culture.
Qualifications
- Business Administration Diploma or other Postsecondary degree in a relevant business discipline or equivalent experience, in addition to a minimum 5+ years administrative experience preferably in a sales or financial services industry
- Effective communication skills, both verbal and written with excellent interpersonal skills to interact with individuals at all levels of the organization and clientele
- Service oriented with strong relationship management skills
- Ability to work independently and as part of a great team
- Ability to handle confidential information in a tactful and professional manner
- Exceptional technology skills and digital savvy; able to support a digital environment, utilizing technology for document management, team collaboration, etc. required
- Proficient with MS Office (Microsoft Word, Outlook and Power Point, Teams) at the advanced level, specific to PowerPoint using info graphics; intermediate Excel
- Flexible and able to perform in a fast paced, changing environment
- Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously required
The expected annual base salary range for this role is $61,000 - $76,500, which is determined based on skills, knowledge and experience and geographic location. In addition to base salary, this role is eligible for annual short-term incentive, health and well-being benefits, retirement and savings plan, paid time off and career development.
